Making the Most of Marketing Dollars, Planning & Prepress Addressed

Although it seems fairly straight forward, there are many decisions leading up to and within each print project that directly affect its bottom-line and overall impact. Proper planning and specific attention to detail can save thousands of dollars. Working with a reliable and knowledgeable print solutions representative is a great start; a partner willing to provide practical solutions to make the most of your marketing dollars.

 The options to save during planning are endless with a little creative flexibility. And, below are just a few examples.

 Removing bleed on an 8.5 x 11 flyer allows for 10, rather than 8, to print at a time and on the same parent-sized sheet; paper is normally 30 to 50% of the total job cost.

 Think about using a self-cover format for multiple-page products. Removing the heavier cover eliminates the cost of an extra press form and may allow the project to fold in-line; every off-line process adds to the bottom line.

When preparing for a direct mail project consider the following:

•            Processing the mailing list(s) in advance will establish the actual quantity needed and potentially reduce waste by 7% or more.

•            Sticking to a maximum finished size of 11.5 wide x 6.125 tall, and staying under 3.3 oz, can save roughly $0.12 per piece in postage; a $2,400 savings with just 20,000 mailers.

•            Fugitive glue dot closures can be applied during the folding process for a small set-up fee, while the wafer seal application adds $17 to $20 per thousand in each direction; new USPS regulations require closures on all “open” sides.

 Once the final specs are established, a second place to prevent additional costs is in the final file set-up and content review stages. Utilizing each software application correctly and carefully reviewing projects before file release are critical steps in this process. Below are just a few examples of ways to retain cost controls.

 Using a document size larger than the actual trim size of the piece, forgetting to include 1/8″ bleeds or building multiple-page products in spreads, rather than single pages, can all add considerable time and costs in to the prepress process.

 Correctly specifying inks, throughout software utilized, has never been more important. Using PANTONE’s COLOR BRIDGE® profiles to establish your 4-color process builds will ensure color accuracy and avoid second and even third rounds of color proofs. You will be asked to create a user account, then you can click on the “helpCenter” in the menu bar to select the “Color Library Updates” page.

 Running a quick spell check and having an “outside” set of eyes review the overall content, before final file release, will also help avoid costly mistakes. Discovering grammatical and layout issues beforehand will help to keep projects on track and on budget.

and I just wonder why they do not release the tutorials for Adobe Acrobat 8 and Adobe Acrobat 9.

This week Microsoft released a toolkit designed to help IT professionals protect systems from common threats.  Named the Enhanced Mitigation Evaluation Toolkit (EMET), this little gem is easy to implement, once you install the very small executables on your workstations.

Before I walk you through setting up FireFox, I want to take a minute to tell you why you should care about this.

Why you should care

In its initial release, EMET protects against exploitation of four common attack vectors.  When an application is “configured,” requisite behavior necessary for an effective compromise of a system is blocked.  The following information is from readme.rtf included in the downloadable EMET .zip file:

1. SEHOP – Structured exception handling (SEH) chain validation breaks SEH overwrite exploitation techniques.
2. Dynamic DEP – Certain portions of memory are marked as non-executable.  Using EMET, you can target specific applications instead of fighting with compatibility issues caused by setting DEP in the BIOS.
3. Null page allocation – Attackers are blocked from taking advantage of NULL dereferences in user mode.
4. Heap spray allocation – Heap spraying involves filling a process’ heap  with specially crafted content to aid system exploitation.  EMET pre-allocates those memory addresses and blocks these attacks.

Although Microsoft hasn’t testing all possible applications, they have successfully tested the following:

1. iexplore.exe (IE) – although there are apparently some problems getting IE to behave all the time.
2. winword.exe (Word)
3. excel.exe
4. acrord32.exe (Acrobat Reader)
5. firefox.exe
6. outlook.exe
7. powerpnt.exe

The developers of EMET warn it isn’t for everyone.  Since EMET turns off functionality some applications may need to work as expected, it should only be used by IT personnel willing and able to work through possible issues.

Using EMET

Using EMET starts with a quick download of a .zip file.  Extract the file in a folder not generally accessible.  This helps prevent unwanted visitors to the target system from messing with them.

Once I extracted the files on my Windows 7 Ultimate desktop, I was in such a big hurry to start testing I forgot about my “new enhanced” security.  EMET is run from a command prompt and requires elevated privileges.  So my initial run was thwarted until I performed the following steps to bring up a command line window with the proper permissions:

1. Click Start
2. Type Command Prompt in the search field.
3. Right click on Command Prompt at the top of the programs list to bring up the window shown below.

4. Click Run as administrator

I then followed the simple example in the readme document to protect FireFox, as shown in Figure 2.

That’s all there is to it.  EMET works with

Okay, so first of all these aren’t my pictures..yes. And whats with the wings?! ..Well, I’ve created a folder in my facebook photos and named it  “BASIC ADOBO’ ..its actually basic ADOBE ( adobo is a popular pinoy delicacy and yes it has nothing to do with pictures or photoshop)  Anyhow, i think its a… well, a not-so-unique name but its the first word that pops  into my head. So what i want is to put edited pictures  in that folder every time I’ll discover a new photo shop effects or whatsoever, you see I’m not that really good in photo shop…im still learning (on my own by the way..) thanks to you tube and some acrobat reader file for tutorial. So goin’ back, there are like five pictures that i have uploaded in that folder.  The one with the color splash effect, the beam effect, smoke effect and the one with the wings effect (my own pictures, me  as the subject)  then an FB friend made a comment about it specifically the one with the wings  and liked it so i made him one by grabbing one of his face book photo, after wards tagged him and the nicest thing is he made it as his primary pic but that’s not all. See, another FB friend find it cute and “THEY” want one too…

We all have that little child in us dont we? Anyway, the thing is I was searching for a good software for Ubuntu which could help me read comics. Most of the comic books available are in the .pdf format which means one has to use Adobe Reader to read. Now that isnt exactly an ideal proposition to be frank, not because Adobe Reader is not an open source software (oh well maybe that is a reason) but because Adobe Reader is kinda boring! No cool tweaks, no ease of use (I’ll explain it later) etc etc. So I was kind of frustrated with it and wanted a dedicated comic book reader. The search wasnt easy. I had to climb to the highest of peaks and to the deepest of canyons to find….Comix!

Undoubtedly this is the most popular and the best comic reader available on Ubuntu. It has some really cool options like the fit width view, manga view and double page view as well as enhancement options which lets you have total control over the brightness, contrast, colour tone etc. And its super fast. It has this cool feature called bookmark which is pretty much what it sounds. And best of all, its open source! Wanna try it out?

Installation instructions

There are loads of download instructions given on the official page, but here’s the easiest way of installing it. Its available in the software repositories in Ubuntu, so all you need to do is type the following after launching the terminal:

$ sudo apt-get install comix

and it! You’ll find it in the Graphics section of the Ubuntu applications menu.

Mac or PC?

One of the biggest debates for a small start-up, and one that we experienced first hand, is the issue of how much of your capital to spend on computer stuff.

As we began making our wishlist of software, hardware, and other capital expenses, we realized that the decisions we were making about what to invest in now would probably be with us for the life of the company. What I mean is that it’s rare that a small practice makes a massive switch from PC’s to Macs, or from AutoCAD to Vectorworks, simply because of the financial implications of converting everything and basically starting a new learning curve.
That’s why we decided that reading through the millions of forums and reviews on products (see CAD forums section) was an essential step in determining which professionals out there are happiest with their setups.

In the end, we made a list of criteria and we chose hardware and software to match based on priority. These are the decisions we made, based on the theory that we would spend a little more money to save time and improve efficiency (especially because there are only two of us in the office):

Computers and Operating Systems:
I was a PC girl. He was a Mac guy. However, in the year before the conception of Emu Architects, the frequency with which I made up excuses to use his Macbook Pro over my Dell Inspiron grew exponentially. I eventually converted, and I haven’t looked back since. This key decision to fork out more dough for the Macs ultimately afforded us more flexibility with high power software. Plus, with Parallels, we don’t have to worry when someone sends us a Windows only file format.

CAD Software:
This was to be the core of how our business would operate. After researching to confirm our suspicions, we decided that everyone in the industry who is not using BIM software is completely crazy. We settled on Graphisoft’s ArchiCAD, and we even won a free license from filling out those surveys that you always think are a waste of time (see Graphisoft’s article on our win)! Armed with this fantastic software, we completely eliminated the need for an external 3D software. In fact, we also gained a huge amount in time savings, because of the fact that all cost estimations, project documentation, and rendering are done within ArchiCAD. It truly made it possible for two people to get everything done in the same time as a team of people working on an AutoCAD project. That extra time can now be spent in the rendering or in other communications and presentation material.

Graphic Communications and Presentation Software:
One of our explicit goals as a company is to offer a higher level of communication than is standard practice here in Italy. This meant we needed tools that would allow us to create and publish well designed graphic web material efficiently. We also wanted the ability to create well formatted templates for presentations to clients and correspondence with other professionals. Our communications software now includes:

Artlantis: Although we are still in the demo mode at the moment, we are fairly certain that this secret software will be well worth it. It raises the level of presentation material with respect to time investment drastically. Look forward to future posts about our experiences with it.

RapidWeaver: We recently decided on this relatively inexpensive software for our new website design Our current published website is a quicky from iWeb and is seriously lacking in SEO (search engine optimization) features. Again – the decision to go for this software came from people’s comments in the forums about short learning curves and time efficiency.

Adobe CS4 and Acrobat: We could probably just do with InDesign and Acrobat, actually. This is what we use for all office document templates to ensure consistency of graphic layout. Everything, and I mean everything gets PDF’d before it is archived in our files. We also tend to use Photoshop a lot for quick photo fixing.

Office Administration Software:
We have been very impressed with iWork ‘09, but are also huge supporters of OpenOffice (free!). This is a good area to save some bucks and go for the open source package. In fact, other than Numbers (the iWork version of Excel), we very rarely use normal office software other than to import information sent to us from other people. For quick word processing (which I use to help me save blog posts), we use Bean (free!). The last to mention is, of course, Skype (free!)- which fortunately is becoming quite standard in Europe as a professional communication tool.

And that’s it. Not so big a list, huh? Hopefully this combination will last us for the next decade or so with a few upgrades every now and then. Perhaps by the time we are veterans, BIM will have caught on as the industry standard and we’ll become the slow ones who need to hire employees to increase our CAD productivity. But until then we’ll enjoy the flexibility of remaining a two-person operation.
