So, you have spent a good deal of money on your computer and you are very happy with it, until one day…..nothing.  Hard drive failure.  No worries, you do back up your computer regularly right? Right!?

Unfortunately, for a lot of Real Estate agents out there risk management is an after thought.  We spend enough time worrying about how to use all of this equipment, we don’t like to spend more time thinking about what to do when it breaks.  Reality is, your life is on that machine.  Pictures of your kids, family, your music collection and obviously your business.  Not only that, but usernames and passcodes too! Think about the years of data that is accumulated and the importance of keeping this data safe. If you don’t know where to begin in making sure you never lose a $1.29 song, a priceless photo or an important document, read on.

There are two main ways of backing up your machine and preventing disaster, each with positives and negatives.

We are going to start with the traditional hard drive.  Storage space is so cheap these days that you have no excuse not to back-up.  You can currently buy a 1TB external hard drive for less than $130!  Most drives that you buy will come bundled with a back-up solution software in the box.  Most are fairly automated as well.  You just need to set up things like, preferences, for when you want to back up automatically and if you want to back up everything or just certain files.  If you are a Mac user its even easier!  Just plug any hard drive into your Mac and a program called Time Machine will appear and it will start backing up automatically.  Done deal.  An excellent site to refer to for reviews of a decent drive is www.cnet.com.  They are a trusted source for reviews of pretty much anything electronic.  However, they don’t cover Real Estate solutions, that’s where Tech Savvy Agent comes into play.

Ok, ok, so what are the negatives to setting up a local solution like a hard drive?  A number of terrible things can happen and can put your business on hold.  Unfortunately, things like fire or theft can render the previous solution inept.  Here is where option 2 comes in.

These solutions are hassle free ways to make sure your business and personal life stays on it’s feet.  Most solutions will back up your computer on an “after hours” schedule that you can modify.  Simple.  Staying safe isn’t as confusing as you may have initially thought.  Internet backup does take a lot longer than the hard drive solution but, once you get the initial backup out of the way it is fairly painless.  If you are still on slow internet connection or (gulp) dial up, you need to move on now.

That’s Tech Savvy Agent’s quick overview of backing up and staying safe.  Perhaps our Tech Savvy agents out there can post about their favorite solutions and why.  Lets spread the knowledge!

The $20,000 computer virus.  Without warning, a virus was downloaded to an auto body shop’s server and started replicating and attaching itself to files.  This virus corrupted their data, impaired their customer management system, and immediately brought down their Exchange server (which meant no e-mail, no billing, no schedules of work).  The shop was forced to spend a whopping $20,000 to remove the virus and restore it’s network.  Even then, this only got them back up and running; their systems were still not optimized, secured, and updated as they should have been.

The hard drive failure that cost $40,000.  The back office of a health products company had two hard drives fail at the same time, causing them to lose a large number of critical customer files.  It turned out their hard drives were not the only things malfunctioning; their back ups weren’t working either!  In the end, recovering the data off those failed drives took a team of disaster recovery specialists 9 days and $15,000.  In addition to the recovery costs, the health products company also incurred $25,000 in other services to get their network stabilized.

So how can you prevent your small business from a similar experience?  Look at these options:

• Deploy “business class” Anti-Virus/Anti-Spyware software.  Ensure that it is updated regularly and that hard drive scans are performed on a routine basis
• Develop daily data back up procedures which ensure the information is stored in at least two locations (one which is offsite from the business).  Perform periodic tests of the validity of data being protected.

This is the first post in a series on Backing-up your files.  I am trying to keep these posts fairly general and I am not drilling down into the specifics of how-to perform the various backup methods.  If you would like me to post more specific information on the how-to’s of backing-up your files then please say so in the comments section.

(Note: I mention a number of products/companies DO NOT

take this as an endorsement of these products/companies I am just using them as examples.)

If you have never backed-up the important files on your computer then my advice to you is to finish reading this post and then go back-up your files.

You may be asking; “Why is it important for me to backup my files?”.  That is a very good question, in short you should back-up your files, because hard drives fail (i.e. break, go bad, cease functioning) and it is expensive (and sometimes impossible) to have someone recover your important files when that happens.  I will be covering the various methods of backing-up your important files in order of cheapest to most expensive.

A good way of manually backing-up your files is to burn it to a blank CD/DVD.  If you are using Windows XP its built-in software will only burn CDs, so if you have more than 650-700MB of data to back-up you will need to get a third-party disk burning program like Nero Burning Rom.  If you are using Windows Vista its built-in software will burn blank CDs and DVDs, but not Dual-layer blank DVDs.  If you want/need to use Dual-layer blank DVDs then you will need to get a third-party disk burning program like Nero Burning Rom.  If you are using Apples OS X it includes a program called SuperDrive for burning CDs and DVDs.  After you have burned the files that you want to save to your preferred media (CD/DVD/DL-DVD) make sure that you label them (including the date they were created) and store the backup disks in a safe location that is at a different location than your computer.  A safe-deposit box is a good option.  This method is cheap (the only expense is buying the disks about $5-30), and is a good idea for anyone who has pictures, documents, and/or downloaded music on their computer.  If you make the back-up disks and store them somewhere safe, then you are protected in case of fire, flood, etc.

An equally good option is to buy an external hard drive and back your files up on it.  This back-up method is more expensive (external hard drives range from $75-300+), but it gives you the option to automate the backup process.  Most external hard drives come with their own back-up software, once you configure the software it will automatically back-up the files that you specify on the schedule that you specify.  A drawback to this method is that the external hard drive has to be plugged in for the back-ups to happen.  If a disaster occurs the external drive will probably be in a similar unusable condition to the hard drive in your computer.  The exception to this is if you buy an external hard drive like the ones made by ioSafe a company that claims that their external hard drives are “disaster proof”.  I figure that if your serious about protecting your back-ups then the few bucks extra that an ioSafe external drive costs you over a similar one from Maxtor or Western Digital is worth it.  I wanted to put some info in this post about the Backup and Restore Center in Windows Vista, but this post is to long as it is.  At some point I will write a post just about that so keep an eye out for it in the next couple of weeks.

An alternative to the external hard drive is the USB flash drive (also known as a data drive/stick, jump drive, USB stick, etc.) it is intended more for moving files from one computer to another or for carrying files around with you that you need frequently on different computers.  However, if your back up needs don’t exceed 16GB then a USB drive is a viable option for backing up your files especially with 16GB USB drives going for $20-35 when on sale.  USB drives size and portability are both a benefit and a drawback; it is easy to take one with you wherever you go it is also easy to lose them or wash them with your clothes (electronics don’t like being washed).
