Ah. The internet. The great equalizer. All companies, regardless of size, can appear to be something they’re not, based only on the look and feel of their web sites. If you think about it, though, that’s not a whole lot to go on. It’s important to realize that a beautiful and massive web site does not automatically mean much. On the internet what you see is not always what you get. A web site that appears to represent a goliath of a company may merely be a clever geeky dude working in his underwear in his garage.

This list focuses mainly on one variety of ecommerce web site: The drop ship company. I just happen to work at one. At last the world of drop shipping exposed for the average shopper. Now you too can know what happens after you click the “Place Order” button in that shopping cart.

A bit of a preface regarding what “drop ship” means: This is when a company sells a product that they don’t make and don’t keep in inventory. When you place your order, the company will notify the supplier of your order. The supplier may be the manufacturer, but often times they are simply a middle man, especially for goods made overseas. The supplier then ships the product directly to you, the purchaser. In most cases, there will be an arrangement so that the box, packing slip and all other materials will reflect the logo and name of the company you purchased from, not the supplier. (This helps keep up the illusion.)

Some companies are open about the fact that they are drop shipping. Others try very hard to keep it a secret so they can appear to be something they are not.

Companies may choose to drop ship because they don’t want to devote the expense and physical space necessary to maintain an inventory. I’ve also heard that having an inventory of merchandise may somehow adversely affect your taxes. And, it’s just easier not to have to ever dirty your hands by actually touching what you sell. Of course, the convenience of never touching your product may come at a price – the profit margins on drop ship products may be minimal.

1. “In Stock” means absolutely nothing

Most smaller operations don’t have the technology to maintain a connection with their supplier’s database. The suppliers I’ve seen don’t offer that sort of real-time information, either. There simply isn’t the technology or the manpower to keep up on that sort of thing. Therefore, the company simply marks the product as “in stock” so they can take your money. After you place your order then they’ll find out about the availability and if it is not in stock, they’ll try to talk you into a similar product.

2. There is no “warehouse”

An ecommerce company may tell you that different products in your order may ship from different “warehouses.” Unless you really are dealing with a giant company, the word “warehouse” is more likely than not a euphemism for “supplier.” It is just a way to make that guy in the garage sound a little more legitimate and grandious than they he really is.

3. We have no idea what the product looks like

Sure, we’re willing to sell you a product. One that we’ve never actually handled or even seen. Yep, in most cases, the moment you open the box drop shipped from our supplier is the first time anyone has actually seen it. You see, most suppliers reserve the right to make substitutions for similar products without telling the company you bought the product from. Or, in many other cases, they’ll simply change the product and neglect to tell us. We show you a picture and a brief description off the supplier’s CD. (The same picture and description you’ll find repeated on every lazy ecommerce store selling the same product.) But what you actually receive may differ. So when you call us to ask why, the fact is, we’ll have no clue what you are talking about because we haven’t seen it!

4. The supplier, not us, determines what is “defective”

The day of excitement finally comes. Your package has arrived. But alas, there is some flaw that is disappointing you. Naturally you’ll call us, the people that sold it to you. We might even care, but the fact is we won’t do anything to help unless our supplier decides to step up. They might require you to pay to ship them the item to perform an evaluation. They might or might not agree with you that it is a defect. Whatever they decide, that’s the way it will be. We’re certainly not going to take any cash out of our pocket to help. You’re on your own and this is between them and you.

5. We don’t know when your product was shipped

You might think because you ordered from us that we know what’s going on. We don’t. If the supplier doesn’t tell us your product has shipped then we don’t know. We also don’t know your shipment’s tracking number. The supplier is supposed to tell us, but truth be told, since we don’t inventory their stuff, we are a monumental pain in their ass and they really don’t give a shit. They are too busy taking care of their bigger clients that generate larger and simpler orders.

6. The supplier and/or manufacturer also retails and at a lower price

Too bad for you that you found our web site first. That means you’ll probably pay too much for something we don’t even make. When the supplier is also the manufacturer they give us a weak discount and can easily undercut our retail price. You’d be better off buying it from them. Of course, we won’t tell you that. We’re busy pretending that we’re bigger than we are.

7. We make up our shipping estimates and charges

We don’t bother to learn how much our products weigh. Remember, we never actually see or touch them. When we drop ship, it’s all on the supplier, including the shipping. So we don’t know what your package will weigh and we don’t know what it will cost to ship. So we round up … way up … just to make sure we cover our financial tushies. You get to pay the difference for our complete and utter lack of knowledge of our own business for the privilege of being our customer.

10. For years, I’ve been using GoToMyPC.com, which allows me to access my office and home computers remotely from my laptop…anywhere in the world. Great program and inexpensive. Another wonderful tool is GoToMeeting.com, which allows you to invite others to view a presentation or demonstration on your computer. You want to save money on travel and hotels, conduct a few meetings like this and you’ll be very happy. There’s always Skype.com, another great tool for chatting, talking or video calls…for free! Give it a try, you’ll always find me on it.

11. Finally…a virtual assistant. If you’re not really familiar with the concept, Wikipedia defines it as “an entrepreneur who provides professional administrative, technical, or creative (social) assistance to clients from a home office.” If you’re in need of someone to help you with emails, online filing, proofing, writing, you can pretty much name it, this is great way to go. I know people who have used the same VA for years. There are so many companies out there. You’ll have to do your research to see which one provides the services appropriate for your company. You can also use Social Networking websites to get some recommendations. I’ve personally used is Elance.com, which allows you to offer up a single project to be bid on by professionals looking for extra work. Nothing’s too small or too big…and you can save a fortune here too.

As stated in an earlier blog, drop shipments are not for everyone. It really needs to make sense for a drop shipment to be cost effective. When we do a drop shipment, we process and address the mailing as we normally do, except after it’s verified at the post office, we bring it back to our facility. We have a relationship with a freight service that only handles drop shipments. We prepare the mailing for them and then arrange for them to transport it to the appropriate post office.

I trust by now you’re thinking a little more about that bottom line and how you are able to cut your expenses. At a seminar I attended last weekend, the speaker clarified the old adage, “Don’t work harder, work smarter.” He took it one step further…”Work right.” It might seem like the smart thing to do, but you must take the time to analyze whether or not it’s the right thing to do for your business.

Here are few more great tips to help you grow that bottom line while reducing your expenses.

7. Go Virtual. If your operating expenses are through the roof, and maintaining an office for you and your team is becoming an increasingly financial challenge, consider virtual communications. You know your team, and if you feel that they’ll still be productive working outside the office, then telecommuting might be a great idea. Trust me, they’ll love the work/life balance that it can provide.

8. Buy, don’t rent. This is kind of the opposite of the one above. Just something to consider, if you’re in a different financial position. If you do own a building or are considering buying one for your business, you might want to rent out some of the space. Use what you need, and then have your tenants’ rent help cover the mortgage. Another great advantage here is that you’ll be building equity in your business assets.

9. Drop ship. In my last position as VP of Operations for a sporting goods manufacturer and distributor, we rented a huge distribution center (DC). Working with the big box giants like Target and WalMart meant keeping a lot of product on hand and staff to manage daily shipments. When we were able to restructure our deal such that we could drop ship product directly from Asia to their DCs…wow, what a savings…not to mention, one less headache. Keep in mind, you need to be partnered with vendors to trust and are very reliable, because you’re reputation and account are on the line if they don’t deliver the goods. Errors in shipments will cost you a fortune in “charge backs.” The retailers have strict rules regarding all aspects of logistics and they impose serious fees when you don’t comply. Making mistakes will quickly eat up what you’ve saved by drop shipping. Take your time and do this right, and you’ll be very pleased with how it can positively impact your bottom line.
