As I said on November 10, 2009, it was a breeze to get dual monitor working on my Windows 7 rig.

The dual monitor configuration as worked well with no noticeable problems … but then again, I never had problems with it in XP either and I used it on XP for nearly eight years.

There are some interesting quirks.

Even though we swapped ports on the video card to see if it was port related, Windows 7 appears to have a spatial awareness of the two monitors — as indicated by this monitor set up image which shows my two monitors to scale.

Though the right hand, 24″ monitor is designated as my MAIN display, when Windows 7 is starting up … it does so on the LEFT HAND SIDE monitor, i.e., the secondary! We had noticed that Windows 7 tended to give preference to the LEFT HAND SIDE monitor.

That is kind of weird. In XP, the XP start-up screen appeared on BOTH monitors — in parallel. Not so in Windows 7. Hhhmmmm.

Well, as you can see the ‘resolution’ of my two monitors are very asymmetrical, the new one is wide-screen while the old one is smaller and ’square.’

Today for the first time I was using Office 2007 Excel in anger … updating the demographics of the College of Cardinals. As is my wont, I was moving the spreadsheet from my main monitor to the left hand side one depending on whether I was working on the spreadsheet or on my papal BLOG.

Windows 7/Office 2007 weren’t too keen about handling the change in resolution for the spreadsheet! I had never seen this ‘reluctance’ with other Apps. But, I do recall, from ages ago, that Excel’s screen handling is different to those of Word etc.

Anyway, the main quirk is that Windows 7 or Excel tries to maximize the spreadsheet as soon as it moves over the the left hand side monitor. Hhhmmm. Not a show stopper. It amused me more than anything else, BUT I am easily amused.

I will keep you posted on this. Cheers.

Have you ever wondered what people do at their computers all day? How can they possibly be that bus

Have you ever wondered what people do at their computers all day? How can they possibly be that busy working on their day to day tasks? The answer may surprise you! Computers were supposed to make our jobs easier and give us more time to do other things. The reality is quite the opposite.

We have noted that many people are not as adept at using the software we have placed at their finger tips as we would like to think. As a result, we have found that one of the significant losses in the front office is time wasted doing work that could easily be done by the software. Unfortunately, we simply don’t know how to do it.

Time is wasted entering, retrieving, editing, and manipulating data to consolidate and prepare reports that only require further manipulation and editing so an effective analysis can be performed. This is particularly true for spreadsheet applications.

Pivot Tables are an excellent example of the point we are making here. Some people are aware of them and even fewer know how to use them. Pivot Tables make organizing data a relatively simple chore. Once created, it is a simple matter to refresh the data and regenerate new reports.

We have also observed that many of the tasks being performed using spreadsheets can be easily and readily automated resulting in considerable time savings. When we discuss these opportunities with the current users, we find that most people only use a fraction of the capabilities that are available to them simply because they are not aware of them or simply have have not been trained.

There is something about our current work methodology that supports learning just enough to get the job done rather than learning all we can to perform the job efficiently and effectively.

Resources:

There are many venues available including online training and packaged offsite training programs however, we still prefer learning by the “book”. Many books include a companion CD that not only includes working examples and tutorials from the book, but often times a copy of the book itself is offered in digital form.

If purchasing books seems to be more of a burden than you bargained for, visit your local library. They often carry many books that are better borrowed than purchased, especially if you are starting at the most basic level. In a short period of time, your experience will outweigh the content of the introductory texts.

The next time you find yourself entering even more data and formatting spreadsheets and reports, consider teaching yourself some VBA over the next few weeks to see how much you can do to help yourself by putting your software to work!

Trusted Web Sites

If Microsoft Help will take you online to visit the archives of Microsoft’s help system, it only seems inevitable that you will find yourself searching for an online “solution” as well at some point in the near future. Rather than list the sites here in this post, we recommend that you look at the Web Sites Page under ”Books and Resources” menu or click here.

Visual Basic for Excel

Microsoft Office Excel 2007 Visual Basic for Applications: Step by Step

We are presently reviewing Microsoft Office Excel 2007 Visual Basic for Applications: Step by Step, by Reed Jacobson, published by Microsoft. The book requires a minimal degree of familiarity with the Excel and VBA environments and offers a solid interactive approach to familiarize the reader / student with Macros and VBA.

While this may be a little more than just coincidence, the examples developed in the first few chapters of the book were very similar to an actual situation we encountered only a month ago. Although we already developed our solution, it was interesting to note that the “HOW TO DO IT” was already out there, bound in a book and sitting on a shelf.

The ERP system would generate a text file that was manually loaded into a spreadsheet, manipulated, formulas added, data edited, and finally formatted to create the final report. This task would require anywhere from 30 to 45 minutes per day. Using the macros created through the first few chapters allowed this work to be completed in less than a minute.

While books may not make for a great gift, the time you can save to do other things is the best gift you can receive. It is interesting how often we hear “I don’t have time”.

Next Steps

We are more than impressed by companies that support in-house libraries where books and other resources are available for their employees. If you don’t have one where you work, this may make for a great suggestion where everyone wins.

Until Next Time – STAY Lean!

Visit our Excel blog for more: http://www.msexcelguru.com

Here we really complete the picture for you by showing you how to enter and then report on your financial transactions.

We show you how to set up the hyperlinks so that if you expand upon this concept you will be able to incorporate any new items in the ‘Home’ or ‘Menu’ Tab.

We review the setup of a list and data validation to update the way the source account works, because that account really needs to represent sources of payments and deposits. This also makes it possible to rely on the “Destination” accounts for tracking all income, expenses, asset purchases and payments on liabilities.

Now that the template is set up we can show you how to enter your transaction data:

This is what the template looks like with everything entered. If there was a deposit to be entered the Source account would be the bank account where the money was deposited and the destination account would be the appropriate income account. This is not set up to show invoices to and payments on accounts receivable. This can be done but would have to be done on a private consult because it would be very involved.

Once we have data in we can begin to report on it. We show you in the last 3 minutes of the web cast how to create a pivot table on this data reporting on expense by category and then expanding upon that by showing you how to further report the expenses daily based on the date of the transaction.

Figure 1 – Pivot Table – Daily Expenses click for larger image

We will post a bonus web cast going into more detail on these pivot tables and how you can use them to report quickly on the information in the sales and transactions.

Hello everyone,

Since I’m not aware of any tools that visually log print server information, I wrote a script that parses the log entries from the system event log of a Windows 2003 print server. Apparently I never got around to posting this online, but I hope that someone is able to benefit from it.

Basically, the process flow of the script looks like this:

Retrieve list of all print entries from server event log

Parses information from each log entry and creates an object in memory representing it

Builds a hash table from all objects

Iterates over the hash table and writes each print log entry to an Excel document

If you have any questions about it, please feel free to let me know.

FYI, I commented out the line near the bottom that does the Excel output, so that it could be executed on a server without Excel installed.

One of the lab assignments in my Business Systems Information classes was to learn how to use Microsoft Excel. The last time I touched that program was in grade 8 – high school. It was good getting back into it seeing as I will be using that program more often now that I will be needing it for my future projects and work.

The first class was very basic. We made a 10×10 times-table and also a table for calculating cost, profit, tax, etc. We learned about cells and how to add formulas into cells. Also, how each cell can use the formula, so that the user doesn’t have to type all the units into every cell box. Can’t wait to see what kind of magic this program can produce. Awesome!

Click here to watch the web cast: How to track your sales in MS Excel Some of us have small business

Click here to watch the web cast:

How to track your sales in MS Excel

Some of us have small businesses and cannot yet afford to go to the expense of purchasing and learning a program like QuickBooks. Especially if our background is in something non-financial (like the products or services we offer). In these cases we can use a spreadsheet to track our business’. As with everything in life we have to consider what information we need and in general we want to keep these things as simple as possi/ble. So in this week’s web cast we are going to look at tracking sales. In the next few weeks we will be building on this theme in short 10 minute web casts (so they can fit on youtube J. www.youtube.com/nerdenterprises for all of our tutorials on both QuickBooks and Excel.

The simple answer on sales is setting up a template that provides a foundation that fosters consistency and simplicity. All too often we get caught up in the details and wind up creating something too complicated to maintain. The phrase keep it simple REALLY applies here. Then you can expand on it as you go – that’s the beauty of doing things in excel – you are the developer so you create the things you need as you need them and you don’t need to wait for the next release!

Figure 1 – Simple column layout

Notice in the example above I kept it simple. Sales tax is calculated separately. You will see in the web cast I was about to make it more complicated by combining the Sales Tax calc with the total. Then I realized I had actually laid it out better than that. It might seem more efficient to do it the other way, but how will I be able to see my total sales tax for a given period? I will have to write complicated formulas to back it out of my total. Then if I have multiple sales tax rates that computation will start to get really complicated. The way it is laid out here, later on I will be able to create a simple pivot table that shows me Sales Taxes by rate for a specified time period. Simple – then I can write my check to the State Board of Equalization based on a pivot table which can be created once and updated when I need to. For non-taxable “Labor” I simply set the sales tax rate as ‘0.00%”.

Sometimes we like to make things more complicated to impress people and then it costs us. That’s right our vanity based on the desire to impress people with our excel skills will cost us dearly in the end. Much more impressive is to show people something that was so well thought out that it was kept simple enough for anyone to use!

In this web cast I go over how to set up a simple template to track sales for your business. Next week we will look at how to track the expenses.

This question came in from my new friend Julio Rios. He has a great product and plans to put more out there. Visit his website at www.qintexsolutions.com (make sure pop-ups are enabled).

Visit the Ask us Page here and post your questions and we will try and get your answer up quickly and/or record a web cast for you. Got a QuickBooks question? Visit our QuickBooks blog at http://www.quickbooksnerd.com

Finally!… Click here to watch the web cast:

If there are shortcuts you want to add that are not listed in the dropdown menu, there are 2 other ways to add them to the Quick Access Toolbar.
