This meant that the<em> </em><a href="http://go2.wordpress.com/?id=725X1342&#38;site=simonebourgeois.wordpress.com&#38;url=http%3A%2F%2Fwww.belfasttelegraph.co.uk%2F"><span style="color:#ff0000;"><em>Belfast Telegraph </em></span></a>would receive a substantial sum of revenue from our family, which one doesn’t think about when they are grieving.<br />
I reckon that the <a href="http://go2.wordpress.com/?id=725X1342&#38;site=simonebourgeois.wordpress.com&#38;url=http%3A%2F%2Fwww.belfasttelegraph.co.uk%2F"><em><span style="color:#ff0000;">Belfast Telegraph</span> </em></a>made somewhere in the excess of £500 from our family, for what, not very much when you think about it, it seems to be more to with the culture of death and tradition.<br />
It is a total waste of money to advertise the death of loved ones, and I believe that the amount of money that is made from this industry is unethical to say the least.<br />
At the time I didn’t have a problem with this, some people may even get comfort from it, knowing who shares their grief at the passing of a loved one. But when I was billed for my personal insertion I phoned the number on the invoice to pay my bill, during the opening times listed, but I kept getting a recorded message stating the hours of business, after hanging onto and being charged for being kept on an open line after joining a queue, I had eventually to go into the Belfast Telegraph offices to pay my bill, because I was cut off, it seems to me that even the Belfast Telegraph don’t even know their own hours of business. What annoyed me was that I was charged for nothing, hanging onto an open 0870 line, and not being able to settle my account with the BT.<br />
What further annoyed me was the insensitive way the BT staff carry out their business, a week after I had settled my account with the BT I received a reminder that my bill was overdue, when I phoned again I was answered this time by someone, an actual person for a change, but it might as well have been an automated service, because their only interest was in clawing money from the grieving with no sensitivity, I asked to speak to their supervisor but after a few minutes hanging onto the 0870 number, the supervisor went into hiding.<br />
At a time of grieving you would think that BT, staff would be trained in the customer services of dealing with customers at probably one of the saddest times a person could experience. They could learn a lot on how Funeral Directors do their business, and another good example of customer services was the Registrar’s Office at Belfast City Hall, I could have been dealt with better, they were A1. I met a very carry individual when I was registering my mother’s death.<br />
As far as complaining to the Belfast Telegraph I believe it would be a waste of time, because I think I would get the same short shift as I got when a supervisor went into hiding from me on the phone, that being the case imagine what spiel they would spew out in a letter.</p>

<p><strong>Invoicing on the Go</strong></p>
<p>To make preparing invoices on your phone as easy as possible, Bill On Site allows you to set up clients ahead of time, although you can access client information via your phone. You will need to provide an email address in order to make sure that your invoice makes it to the appropriate client. You can also set up your invoices so that your clients can pay you immediately if you happen to be meeting with them when you send the invoice, as well as accept payment by PayPal, check or money order. You can automatically add taxes, fees and discounts to specific clients as well, though they do need to be set up before you start using your phone.</p>
<p><img class="alignright size-medium wp-image-22385" title="Bill On Site - Thursday Bram-2" src="http://webworkerdaily.wordpress.com/files/2009/11/bill-on-site-thursday-bram-2.jpg?w=300" alt="Bill On Site - Thursday Bram-2" width="300" height="200" />Bill On Site offers a mobile interface that you can use on any phone that allows you to access the web. It is a relatively easy interface to use, and you can turn out invoices on the spot.</p>
<p>The service has three separate pricing plans, ranging from $15 a month to $45 a month. The basic account is limited to sending out 25 invoices a month and is for solo users only. The other plans offer more invoices each month, as well as staff accounts so that multiple members of an organization can access the invoicing system. Each of the three plans includes a 30-day free trial.</p>
<p><strong>Using Bill On Site</strong></p>
<p><img class="alignright size-medium wp-image-22383" title="Bill On Site - Thursday Bram-1" src="http://webworkerdaily.wordpress.com/files/2009/11/bill-on-site-thursday-bram-1.jpg?w=300" alt="Bill On Site - Thursday Bram-1" width="300" height="200" />The ability to send an invoice from your phone is very useful &#8212; if  you&#8217;ve had to go on-site to see a client or you&#8217;re otherwise away from  your computer, it&#8217;s a practical feature.</p>
<p>However, many invoicing tools can be used on a smartphone. Some have created applications (like Freshbooks&#8217; <a href="http://webworkerdaily.com/2009/10/02/minibook-putting-freshbooks-on-the-iphone-and-ipod-touch/">Minibooks</a> iPhone app, for example) or mobile interfaces, but with a little perseverance, even those that have not can still be used.</p>
<p>One thing I&#8217;d love to see from Bill On Site that would make it really stand out from other invoicing apps is a way to  send invoices from mobile phones that aren&#8217;t smartphones (maybe via an  SMS or voice interface).</p>
<p>In general, Bill On Site stacks up well against other invoicing tools. It does encrypt all invoice and client information and transmits it over SSL. Data is backed up in three different locations, according to the company&#8217;s web site. The system also records all changes to each invoice, so that you can review how an invoice has been updated and changed at any time. The question worth considering is how different the mobile interface is for Bill On Site when compared with other invoicing tools, but if invoicing from your phone is a concern, it&#8217;s worth giving Bill On Site&#8217;s free trial a go.</p>

<p>Biasanya pembulatan ini juga digunakan oleh situs-situs e-commerce untuk menampilkan total pembayaran pada sebuah <em>invoice.</em></p>

How to customize emails when sending invoices in Quickbooks 2007.</p>
<p>I don&#8217;t know why it&#8217;s so difficult to find instructions to customize emails generated by Quickbooks when you send invoices to your client?  Perhaps there are too many companies trying to create addon&#8217;s that you shouldn&#8217;t have to pay for.</p>
<p>I tried the Intuit website&#8217;s help and searching their knowledge base was frustrating.  Eventually I did find it barried in some pages of badly indexed data.</p>

<p><img class="alignleft size-thumbnail wp-image-195" title="Plan" src="http://architectsinsanity.wordpress.com/files/2009/10/plan1.jpg?w=150" alt="Plan" width="150" height="112" />I just returned from visiting a client &#8211; who had not received an email or letter regarding his invoice so I went to personally take him a copy and chat with him about another issue as well.  When I arrived he was just getting back from a meeting.  I asked how he was doing and he said it had been a bad weekend.  He said he had gotten the bill in the mail and it was not at all what he was expecting.  His comment was that it was a NYC price and the clients could have got an architect there and not gone with his recommendation (me) who was supposed to be so much less expensive.  In reality, the NYC price would have been 5 times my price and any other architect around here would likely be double my fee.  I know what I charge and how it compares.  But hey &#8211; GO to NYC and get an architect there then.  You&#8217;re a big boy!  My fee is a tenth of what the realtor fee is going to be to sell the units.  It makes me ill to think of that and everyone just pays that bill without argument.</p>
<p>But I feel absolutely horrible.  A huge pit is in my stomach, like I did something really wrong.</p>
<p>I devalue myself in my work as an architect and also personally.  Nothing is ever good enough and the memory of success fades fast.  Why should I let people take advantage of me?  This was one time where I decided to charge what I was worth and now I feel kicked in the teeth.  An episode like this can send me into a depression really fast.  I just keep playing it over and over in my mind, hearing the conversation, thinking what thoughts were in my mind, my action, my gut reaction at that moment.  It plays and plays and I can&#8217;t let it go.  I drive myself into the depth because I am never good enough, never perfect enough and make mistakes at ever turn.  Intellectually I understand this is not the case but it is truth in my screwed up brain and it makes me crazy.  It&#8217;s really a bitch when your intelligence can&#8217;t override emotional responses.  I am a small child with my emotions in control, it is an especially frustrating situation for a successful, talented, educated, professional.</p>

<content:encoded><![CDATA[<div class='snap_preview'><p>I once conducted an interview with a chap from the <a title="BPPG" href="http://www.payontime.co.uk" target="_blank">Better Payment Practice Group</a>. They&#8217;re a lobbying group who represent the small business community; and their<em> raison d&#8217;etre</em> is to help small businesses improve their cashflow by getting paid on time.</p>
<p>Much of their work &#8211; and the bit which gets the most media attention &#8211; involves publicly bashing big companies who hold smaller companies to ransom by endlessly extending their payment terms (or worse still, simply not bothering to pay at all unless you kick up a rumpus).</p>
<p>In these troubled economic times, many larger companies are playing a particularly hard game &#8211; whilst the majority of my customers are wonderful and very honest indeed, I have already had one major client unilaterally extend their payment terms from 30 days to sixty days. It&#8217;s a cheeky thing to do, because not only are my terms thirty days, but we even have a contract with clear acceptance of the thirty day period. But that&#8217;s the nature of the game: they know full well I want their business, and they&#8217;re the bigger party. It&#8217;s basically playground bullying on a larger scale.</p>
<p>However, the most interesting part of my conversation with the man from BPPG was something he told me that I will never forget. He said that by far the most prevalent reason for invoices being paid late is that the invoices weren&#8217;t up to scratch in the first place.</p>
<p>Think about it: if there&#8217;s something wrong with your invoice, do you think your client&#8217;s Accounts Department is going to ring you up and mention the fact? No, they&#8217;re going to sit on it, do something else with their time, and buy themselves 30 days of free credit until you finally realise and chase them. And then bag another 30 days while you put it right.</p>
<p>Worse still, chasing Accounts Departments isn&#8217;t easy &#8211; I chased an invoice last year, where the Accounts Manager said to me with a giggle: &#8220;Oh! I only took the call because I was pretty sure we didn&#8217;t owe you anything&#8221;! At least he was honest&#8230;</p>
<p>And yet, getting your invoices right really isn&#8217;t much trouble. If the following sound basic, it&#8217;s because they are. But almost all companies manage to mess this lot up somewhere. Here are some top tips on the stuff which you must put into your invoices:</p>
<ul>
<li>Your company name, and if it&#8217;s limited, your Company Number</li>
<li>Your address. Really. If you don&#8217;t put it in, don&#8217;t be surprised if you don&#8217;t get a cheque back</li>
<li>Your VAT number, if you&#8217;re registered for VAT. It&#8217;s an illegal document if you don&#8217;t.</li>
<li>The client&#8217;s reference number, if there is one (usually a Purchase Order number). This is a massively useful tool for procrastination if the client has allocated a P/O number and you forget to include it.</li>
<li>Your bank account details (account number and sort code). Put these in, and you may well get paid electronically, which these days is an instant transaction. Fail to do so, and you&#8217;re stuck with cheques &#8211; which will add seven days or more to your payless period.</li>
<li>&#8230;And finally, make the numbers add up! I have lost count of the invoices I&#8217;ve received where the numbers just don&#8217;t tot up properly. Use Excel, get it right, and you&#8217;ll save yourself loads of hassle.</li>
</ul>
<p>To prove the point, here&#8217;s a clear and simple sample invoice (it&#8217;s taken from the ones we actually use), which are produced in Excel. We keep paper and PDF copies, and I spend no more than an hour a month putting them all together.</p>

<p>Some companies are always going to be problematic payers, but it&#8217;s bonkers to find out that sometimes it&#8217;s your own fault. Get your invoices right, and at least you&#8217;ll know you&#8217;re right to take the moral high ground&#8230;</p>

<content:encoded><![CDATA[<div class='snap_preview'><p>Businesses hit hard by our recession have had their hands forced in re-evaluating the way they operate; how do they hire, how do they pay, how do they borrow, how do they bill? Of those re-tooling the ways in which they bill, perhaps none are more notable than law firms because of their slavishly traditional adherence to the &#8220;billable hour.&#8221;</p>
<p>The concept of the billable hour is simple: firms charge different rates for different attorneys (partners are billed at a higher rate than associates, etc.), and several attorneys of several levels may work on a project and the client is billed per hour, per attorney, per respective rate. Thought it&#8217;s held steady for over a century, the system stands in stark contrast to the efficiency of a flat schedule, in which one piece of work is performed in exchange for one agreed-upon price.</p>
<p>Now firms are playing catch-up. As corporate clients feel the recessionary pinch, their legal budgets are shrinking and they&#8217;re less inclined to pay their old lawyers their old hourly rates (often in the neighborhood of hundreds of dollars per hour). <em>Legal Bisnow </em>reports that of those venerable bastions doing the best job of adapting, Skaden Arps, Kirkland &#38; Ellis, and Akin Gump are leading the pack. Those firms, plus CitiGroup and Arent Fox, recently sat down at <em>Bisnow</em>&#8217;s &#8220;Breakfast and Schmooze&#8221; event in Washington, D.C. to discuss the future of their respective invoices.</p>
<p>The result? Arent Fox chairman Marc Fleischaker says alternative billing, like fixed fees, already accounts for one-third of that firm&#8217;s business. The rest agree, and note other long-term changes in their business models: improved client communication, especially with regard to billing details; fewer employees doing duplicative work; a shift to already-existing in-house counsel at some large corporate concerns; and more contingency fee work. Notably absent from the discussion: the prospect of reduced partner compensation.</p>

<content:encoded><![CDATA[<div class='snap_preview'><p style="text-align:justify;">The other day I was thinking about the principle differences between paper based business-to-business commerce and e-commerce. The answer was eventually quite clear: Not much! The same business artifacts are created albeit in a very different form. Several specifications exist of which <em><a href="http://www.xcbl.org/">xCBL</a></em> (XML Common Business Library) seems to be the most popular. Even Visa got onto the bandwagon and published the <em>Visa Global XML Invoice Specification</em>. A quick search on <em>Google</em> will reveal several other specifications, all of these coming to life in the footsteps of the older <em>EDI</em>-techniques.</p>
<p style="text-align:justify;">They all, however, share one common denominator: They are to a large extent an electronic representation of a paper concept originating from a paper based world.</p>
<p style="text-align:justify;">Many centuries ago most people would only trade within their village buying from the different mongers at the local market. Valid transactions that can be translated into modern procurement terminology did however take place:</p>

<p style="text-align:justify;">And so it carries on. The point is that the face to face contact did not necessitate any formal documentation to be produced since there is an underlying trust relationship in the transaction. Of course, the moment inter village trade starts the degree of trust will diminish almost in a straight line as the distance between the trading villages increases, thus requiring some kind of formal and legally bounding documentation. Then came the accountants, especially after the <em>Industrial Revolution</em>, who had to produce back up documentation supporting the different transactions that they posted to their different ledgers. The evolution from a transaction based on trust to a transaction inherently built on distrust was complete to such an extent that every single person in the world accepts it as normal – including me!</p>
<p style="text-align:justify;">In the IT-age, systems were developed that took these paper concepts and translated them into bits and bytes for ease of management, retention and reporting. Nothing in the essence of the business process or underlying relationship changed. The IT-age has unlocked a term called the <em>Global Village,</em> yet we still trade as if we all live in a different village from our neighbour.</p>
<p style="text-align:justify;">My next thought then went into the myriad artifacts (<a href="http://www.xcbl.org/xcbl40/documentation/listofdocuments.shtml">xCBL 4.0 specifies 44 business documents in eight categories</a>) we produce during the life of a transaction and I started wondering whether it will be possible to create an artifact that will encompass the complete transaction cycle. Is it viable? Can something like this be implemented? Will law makers actually buy into such a concept? Since there are countries that wrote the exact layout of a paper invoice into law, can an electronic all encompassing artifact also find its way into some law? Maybe I’m trying to over simplify the world, but is true freedom not contained in simplicity?</p>
<p style="text-align:justify;">I don’t know the answer to any of these questions and the only thing I know is that should something like this happen, it will be due to a very slow evolutionary process rather than any sudden change –  it took us several millennia to get where we are now. Maybe someday we can start trusting each other again…</p>

<p>On first logging into the Xero system you are first shown a well layed out &#8216;dashboard screen&#8217;. This gives you an overview of your finances with a simplified &#8216;money-in&#8217; &#8216;money-out&#8217; view.</p>

<p>The main benefit of Xero is the way it has streamlined creating invoices. This process has been refined quite well into an easy to use series of data entry screens. Overall these are easy to use and all necessary functionality has been provided.</p>
<p>It would however be nice to be able to add a note against each invoice &#8211; just for internal reference.</p>

<p>Once you are comfortable with creating and managing invoices the next most important area of Xero is the reporting section. I found this very good with my only complaint being that there was often too much detail.</p>
<p>There is a lot of information that is only relevant to an accountant that doesn&#8217;t need to be so prominent. It&#8217;s good that it&#8217;s there, don&#8217;t get me wrong, but it should perhaps be separated into a different section.</p>
<p>A lot of the simplified terminology such as the easy to understand &#8216;MoneyIn/Out&#8217; phrasing has also been lost on the reports.</p>

<p>All of the standard reports that you would expect are here in xero including profit &#38; loss and Balance Sheet. Overall the functionality is comprehensive and accurate.</p>

<content:encoded><![CDATA[<div class='snap_preview'><p>Accounts Receivables are monies that are owed to you for goods and services that you provided to your clients.  It is important to remember that this is your money and because of this, you need to have an excellent system for keeping track and collecting it.</p>
<p>When you see a client you collect a fee.  I inform <!--more-->each person in advance that I only accept cash or cheque.  That way you do not have any vender fees that are charged by merchant services.  I also have the client sign an agreement which includes the fee, method and timing for payment.  Include a section on if/how interest would be charged as well as policies for unpaid accounts (collections procedures).</p>
<p>You will either prepare a sales receipt (for cash or cheque) or an invoice (for third party payers) immediately after the appointment.  My first choice for sending these to the payee is by email or FAX as this saves the cost of postage.</p>
<p>You will also need to have a method of preparing monthly Statements for clients with unpaid balances.  These need to be sent out immediately after the last day of the month.  I like to print a listing of my Accounts Receivables for the month and then make a plan to contact those which have been owed for the longest period of time.  A polite telephone call can reveal the fact that the invoice had been misplaced, forgotten or missed the payee&#8217;s cycle.</p>
<p>Not collecting your Accounts Receivables on a regular basis is like losing your wallet.  Somebody else has your money.  What is the point of working hard if you are not going to be paid.  Remember, this is a business.</p>
<p>If you have signed contracts with third party payees you will find that they usually have specific forms or requirements that must be met before they will make payment.  You still need to have a central system that will record everything in a standardized manner.   I use an amazing software program that allows me to set up the client and then do the invoicing and sales receipts with only three clicks!  Simplicity is good.</p>
<p>If someone asked to borrow a large sum of money from you and pay it within 30 days, I think you would be watching the calendar and eager to collect.  This is the same thing.  The buck stops with you!  Go get your money &#8211; you earned it!</p>

<p>Tras estos cálculos, llegamos a la conclusión de que el tratamiento y archivado de una factura en papel supone 8,39 euros (6,3 + 2,09).</p>
<p>Y ¿si en lugar  de hacerlo así  montamos una valija diaria que recoge sus facturas de proveedores en sus oficinas y nos las trae a la nuestra, donde las digitalizamos y para primeras horas de la tarde vía FTP seguro tiene las imágenes digitalizadas en su ERP y nosotros archivamos su facturas en nuestro almacén? Y ¿si todo ésto le cuesta alrededor de 0,30 euros por factura?</p>
<p><img class="alignright size-full wp-image-616" title="hucha" src="http://gupost.wordpress.com/files/2009/09/hucha.jpeg" alt="hucha" width="110" height="120" />Pues resulta que tenemos que sumar 0,30 a los 2,25 euros del tratamiento en digital, es decir, que la nueva manera de hacer tiene un coste de 2,55 euros, lo que supone<strong> &#8220;un ahorro&#8221; de 5,84 € por factura tratada</strong>. Multiplíquelo por las miles de facturas que anualmente contabiliza y se hará una idea del ahorro posible.</p>
<p>Bueno, este es un ejercicio reducido y con unos datos que pueden ser debatibles. Trabajos de consultoras como Gartner Group analizan más tipos de costes asociados al tratamiento en papel de las facturas por lo que las ventajas y ahorros de lo digital aumentan mucho más.</p>
