In response to your feedback we’ve made some changes to Library Search.

When you do your search newspaper articles and book reviews are automatically excluded. So it will be easier to find books and journal articles in your search results.

Of course if you’re looking for news articles you can add these to your search by unticking ’exclude newspaper articles’.

I don’t normally post rants, especially rants about libraries that could easily offend colleag

I don’t normally post rants, especially rants about libraries that could easily offend colleagues or future employers, but I’m about to make one big exception. You have been warned!

My daughter has just started studying as a part-time off-campus mature-age student at a university I shall discreetly not name and sent me a photo of her notes from the compulsory library instruction class she had to do. There were apparently a number of sections to the class, some of which were very helpful (plagiarism, referencing, google scholar) but the classes began with detailed instructions on how to use the library search tools. Her notes included extensive points, details and a Venn diagram explaining Boolean searching, phrase searching, truncation and substitution, nesting and mathematical operators.

Despite years of using library systems (including the obligatory unpaid shelving all loved ones of librarians have to do) she found this class incredibly challenging. Her marks were 100% for topics such as plagiarism, referencing, putting items in Dewey order (see earlier note re unpaid labour), setting Google Scholar preferences and the like. She barely passed the first section though, which was all about how to search the library catalogue.

I checked the website for the library concerned and was surprised to see they had only one search tool on their page, a discovery system in which almost none of these search strategies will work. Which meant that trying them out while learning about them was, shall we say, a bit tricky??

My daughter now thinks, perhaps rightly, that the library search tools are complicated, old fashioned and very hard to use. She will most certainly be avoiding using them and I would think this would mean she will avoid using the library and will stick with Google Scholar which she feels comfortable using without training. Let me just reiterate here: week one of a degree which will take six years part time to do and the compulsory library instruction class, which threw the hardest and least useful content up first, completely alienated the student. She sees the library and it’s search tools as a last resort now and it will be incredibly difficult to change her mind.

Dear fellow librarians, people who are returning to education as adults are easily scared away by overly complicated messages. Think about the content, timing and delivery of your messages from your customers and potential customers perspective, not from your own perspective. If you make them feel stupid or scare them off the first time they hear about you they are unlikely to ever come back because they have plenty of other ways to get just enough information that is just good enough for their purposes. Except for the very small number who are planning to take library courses they just do not need to know what a nested Boolean search is, most especially they do not need to know it in week one of their three or four year degree.

This is 2012 not 1980. We can design our communications to be friendly and welcoming so they suit our users just like Facebook and Amazon do. If we can make our search tools easy to use without instruction students will have a go and then hopefully get help if they get stuck. We can let go of the outdated notion that everyone who enrols at university needs to develop searching skills based on arcane library-only metadata standards. They will never need to use Dialog on a dial up modem so constructing complicated nested queries is pointless! If we try to give them just enough instruction at just the time they need it there is a far greater chance they will retain that knowledge and use it again.

I know that class material takes ages to construct and it is really hard to get the time and resources to update or fix instructional material it once it is up and running tolerably well (oh boy do I know!). But I do think we need to give a bit more thought to our student’s experience of our services. Too many services like this and we will have no more customers. With a little tweaking this class would not have alienated students but instead could have given them the impression that the librarians were friendly helpful people who could answer questions and give advice about searching and accessing information, which in my experience they universally are. I wish the same could be said for their online presence.

The very term “archives” conjures images of dust and decay accompanied by acrid aromas and tended by

The very term “archives” conjures images of dust and decay accompanied by acrid aromas and tended by bespectacled history geeks. All wrong. And anyone who has ever explored family or house history, faced a legal dilemma, or wondered about local lore has had a brush with paper, digital or other archives.

October is American Archives Month, a season to be celebrated by the most tempero-centric – a time to think for a minute that those preserved photos, clippings, stories, public records and more didn’t just happen but have been collected, organized, preserved and made accessible through the deliberate and committed work of individuals and the commitment of institutions.

At the time of the Minnesota Sesquicentennial I skimmed the state’s archival surface to compile a random list of irresistible lures to the world of archives. Over the years I’ve tweaked it a bit – and was amazed to find it posted (sans attribution) on the Minnesota Coalition on Government Information website. I have not checked to see if the original was edited by that group.

For some time I have wanted to share this listing and concluded that American Archives Month 2011 might be a propitious opportunity to resurface the whimsical list, slightly pruned and otherwise modified – not significantly updated because the month is just too short for a serious revision.

Many of the materials and descriptions here are accessible online; the print listings suggest a link to digital options. Because the digital resources offer an absolute minimum of the preserved record, we need and always will need multiple access options. Though digitization is growing at an exponential rate, its main contribution is to lure the armchair searcher into a passion to know more and to make the minimal effort to learn more.

This random list is absolutely arbitrary and whim-biased with links to minute bits of Minnesota history. Each of these guides, descriptions, stories was prepared by a Minnesotan, an organization or a state agency that cared enough about the state’s stories to collect, preserve, organize or otherwise help create the legacy. Not everything is digitized or on the web – websites are just the most accessible right now. These sites exemplify the ways in which Minnesotans have used the public records to plumb the depths of their particular interest or passion or legal encounter.

Tending to the record of Minnesota is a collective responsibility and a public trust. It takes personal conviction, time, talent and public support. Without these and hundreds of thousands of other records, carefully organized and preserved, the Sesquicentennial would signify the passage of time rather than the values, the experience, the public record, and the recognition that access to information is at the very core of the democracy we share. The challenge of today is to embrace that principle so that 21st technology enhances access to the building blocks and expands the embrace of this diverse, informed and sharing culture.

The disorganization is absolutely arbitrary – draw no conclusions. The omissions are legion. Though a comprehensive and authoritative list would be a wonderful tool, the universe of possibilities is well nigh infinite and digitization is having a daily and profound impact on the possibilities.

Pick a topic, probe a bit, and pause to think a bit about why and how we preserve the data and the stories of our state. Some places to start, bearing in mind that each of these tools reflects the commitment and labor, past and continuing, of an archivist and, in many cases, an institution:

Minnesota Archives, Minnesota Historical Society – MHS, along with several state agencies, is taking a lead at the national level in preserving the state’s own information digital resources. It’s a monumental undertaking that does Minnesotans proud! The depth of resources and the collaborative efforts of state agencies deserve an American Archives Month commendation.

Well, our new library website has gone for QA this week. It’s been a long journey but we’re not far off from completing the site. There are still a few checks and tweaks to complete, and further testing and no doubt further changes. But, we’re now at a stage where the site looks like a completed website, with all the design, content, structure, features and links in place.

The site is a mix with the static content contained within drupal and with dynamic content using ajax/php being used to display library resources, by subject and by content type. The dynamic content is drawn from a back-end database that takes data from the library management system and other systems. This will hopefully make it easier to keep the content of these resource pages up to date.

Some of the terminology we’re using in the site has changed from the current site, so we are using Library Resources instead of Collections, after running a quick SurveyMonkey questionnaire to get user feedback. Library Resources is consistent with the term used in our Virtual Learning Environment Moodle so it should make it clearer to users what to expect in this section.

As well as building in dynamic lists of news and training sessions into the home page of the site we have included quite a few changes in the help on the website. The main change is the introduction of a ‘context-specific’ help feature. We’ve been thinking about this ‘help channel’ feature for quite a long time. The feature uses a Drupal module called ‘Similar by Terms’ that lets us dynamically push into a box on a page a list of links to pages in the site that are using the same metadata tags and are from the help and support section. This box, labelled ‘How Do I…’ means that on a library resources page about ejournals we can show links to FAQs and other help material about accessing journals.

In the help and support section itself we’ve also been able to interfile FAQs (which are taken from our CRM system) in with our other help content, to avoid users having to search through several lists of different types of help to find what they need.

With search after a lot of work to ask users what they want and investigate what works we’ve gone away from the multiple tab approach on the home page that we’ve used with mix results for the last few years. We had mounting evidence that users really didn’t understand the differences between the different tabs. So we are providing a single Find articles search box to One Stop Search (Ebsco Discovery Solution). We are also providing links to journals, ebooks and subject search pages that provide search boxes (to SFX for journal titles and to Voyager for ebooks) or a subject search feature and some explanatory text.

We’ve still got more testing to do but initial reactions from library staff to the design are good. We’ve got a few bits to finish off to make sure that the changeover from the old to the new site goes smoothly and to get the final signoffs from QA and elsewhere, but we are nearly there, thanks to all the hard work of everyone involved.

Library Search is great at narrowing down your results, so that you can find the content you specifically need, whether that’s a journal article, a market research report, a book or an eBook.

However, at the moment, there is a slight issue with refining items in Library Search to find just eBooks. Luckily, there is a simple solution.

1.

The University Library Service will be releasing ‘LibrarySearch’ in Summer 2011. This new service will provide an improved interface for the Voyager library catalogue and other library managed information resources.
A Beta version will be released to the University during the spring semester, to gather feedback from staff and students, with a view to launching LibrarySearch in time for the start of the 2011-12 session.
In order to implement LibrarySearch, work is required on the Voyager library catalogue journal records to ensure they are presented correctly in LibrarySearch. Currently the print and electronic versions of a journal are shown together on a single Voyager library catalogue record. These joint records will need to be split into two separate records, one for the print version and another for the electronic version. This means that you will see two separate search results for each journal which is available in both electronic and print format. The electronic version will be indicated by the statement [Electronic Resource] after the title. This is already the case for eBooks. Once available, LibrarySearch will automatically join together the electronic and print versions of books and journals in the search results.
The work on splitting the journal records will start on 31 January and we anticipate that it will take a minimum of three days. During this time some electronic journals may not be available via Voyager but will still be accessible as normal via the eLibrary (available via the Library menu in Cardiff Portal). Direct links to journals from bibliographic databases and Google Scholar will also continue to work and all other aspects of Voyager will remain available.
If you have any queries or feedback about this work, please get in touch with me.

Here is a video explaining LibX – a great tool that I promoted at NECC in San Antonio.

The LibX Murdoch University Toolbar is a Firefox Browser extension that lets you search the library holdings straight from a toolbar in your browser.

It also embeds little symbols next to the titles of books and journal articles in pages you view on the web. Clicking on these symbols lets you check whether the library has it.

This is awesome and a cool Web 2.0 enhancement for libraries. Enjoy!
