What’s New for Office 2003 (and Earlier) Users?

When Office 2007 was released several years ago, Microsoft introduced so many new features that people got confused. When anyone is used to doing a particular thing a certain way and it suddenly changes – it’s bound to cause some confusion.

One of the most notable changes was the removal of the toolbars and the File Menu Bar. These were replaced by something called the Ribbon, the Office Button, and the Quick Access Bar, which did the same sort of things.

Another change was the ability to export documents as either .PFD or .XPS files.

Microsoft even changed the way it saved files. For example, the .doc extension that Word used before was replaced with the .docx extension. The .docx file is actually a compressed file that includes a file of the text, plus another about how the text is formatted, any images that have been used. (A neat little trick – take a .docx file, change the extension to .zip, and uncompress it. You’ll see everything in there.)

What’s New for Office 2007 Users?

Users more familiar with the Ribbon, Office Button, and Quick Access Bar from Office 2007 Programs will still find quite a few changes and new features.

One of the most anticipated new features of Office 2010 are the new Web Apps – or, online versions of Word, Excel, and PowerPoint. Microsoft has also said they plan to make these available for all users of Live Skydive – their online file storage system. The most recent reports are saying that they will be releasing (perhaps scaled down versions of) the Web Apps to all Skydrive users, including 25GB of storage, although this service may be ad-supported. Many Office 2010 Suites users will be able to access a non-ad-supported version of the Web Apps.

Office Mobile 2010 will be available for users with Windows Mobile 6.5 (or greater) Smartphones.  This will also allow users to synchronize data and files with Word, Excel, PowerPoint, OneNote, and Outlook.

Another noticeable change is what they are calling the Backstage Area. Clicking the File tab in any Office 2010 program pulls up the Backstage area, where users can control document properties, share, print, or create new documents.

The Very Different Aspect Ratios Of My Two Monitors

As I said on November 10, 2009, it was a breeze to get dual monitor working on my Windows 7 rig.

The dual monitor configuration as worked well with no noticeable problems … but then again, I never had problems with it in XP either and I used it on XP for nearly eight years.

There are some interesting quirks.

Even though we swapped ports on the video card to see if it was port related, Windows 7 appears to have a spatial awareness of the two monitors — as indicated by this monitor set up image which shows my two monitors to scale.

Though the right hand, 24″ monitor is designated as my MAIN display, when Windows 7 is starting up … it does so on the LEFT HAND SIDE monitor, i.e., the secondary! We had noticed that Windows 7 tended to give preference to the LEFT HAND SIDE monitor.

That is kind of weird. In XP, the XP start-up screen appeared on BOTH monitors — in parallel. Not so in Windows 7. Hhhmmmm.

Well, as you can see the ‘resolution’ of my two monitors are very asymmetrical, the new one is wide-screen while the old one is smaller and ’square.’

Today for the first time I was using Office 2007 Excel in anger … updating the demographics of the College of Cardinals. As is my wont, I was moving the spreadsheet from my main monitor to the left hand side one depending on whether I was working on the spreadsheet or on my papal BLOG.

Windows 7/Office 2007 weren’t too keen about handling the change in resolution for the spreadsheet! I had never seen this ‘reluctance’ with other Apps. But, I do recall, from ages ago, that Excel’s screen handling is different to those of Word etc.

Anyway, the main quirk is that Windows 7 or Excel tries to maximize the spreadsheet as soon as it moves over the the left hand side monitor. Hhhmmm. Not a show stopper. It amused me more than anything else, BUT I am easily amused.

This week we will look at 2 really great ways to make your OneNotes look great and reflect your personality.

While some may say that it really doesn’t matter what your OneNotes look like, I think that colour and design help your notes reflect you. Those who use pen and paper notebooks take great pride and fun in selecting just the right book to muse in. They may wander through various shops picking up many different books before they decide that one is what they want to look at everytime they have something to say.

OneNote gives you stylist freedom through Page Templates and assigning colours to the Tabs.

A. Page Templates:

When adding a new page to your notebook, choose what theme or style you want for it by choosing the drop-down arrow beside New Page on the side bar.
From the menu that appears, select Page Templates …
You will find a whole variety of templates amongst the categories of Academic, Blank, Business, Decorative, and Planners.

Example, for students, under the Academic category, there are templates to use for taking lecture notes.

B. Customized Tab Colours:

At any point, you can adjust the colour of the tabs to match your fancy or design vision. Simply right-click on the tab. From the menu that appears, select Section Color. A range of colours for your choosing will appear.

We recently discussed how software skills of people in your company can impact their effectiveness and efficiency.  One of our suggestions was to provide additional training and resources to allow staff to upgrade their skill levels.

We should also mention that upgrading to the latest software release may also improve their performance.  Microsoft recently announced upgrades to their Office product line so now may be the time to “5S” your computer and install the latest software.

The Learning Curve

When the Office 2007 upgrade was introduced, many of the software interfaces that we were accustomed to were changed.  The intention of changing this interface was to make some of the more “advanced” features available to the average user.

While these intentions are admirable, we have found that many companies didn’t upgrade.  Compatibility concerns will soon become an issue as software developers desire to take advantage of the newly introduced functionality and capabilities of the latest release.

When we made the switch to 2007, admittedly there was a bit of learning curve.  The new functionality introduced by the new user interface seemed a little awkward at first, however, the effort was more than worth our time.

Although we did lose some perceived functionality in Excel, specifically with our custom menus, the newly added features have been well worth the effort to transition to the next generation of software.  This added functionality is evident by the many Function Specific books that have been written on topic such as Charting, Pivot Tables, and VBA.

Microsoft is Upgrading Again

We recently heard that Microsoft has announced yet another upgrade of the Office products to be released in the near future (if not already).  It can be increasingly difficult for software developers to support multiple versions of previous software releases.

Visual Basic for Application (VBA) programmers are more than aware that even Microsoft’s Macro Recorder does not capture all the functionality to support the features available in the 2007 Office software.

Although Excel has evolved considerably over a relatively short time, we are still surprised to find Excel 1997, 2000, 2002, and 2003 being used like they were released yesterday.

5S Your Software

Recognizing clutter in our physical environment is easy.  We don’t do a very good job when it comes to our “Digital” work space.  The Digital Dump doesn’t exist.  Even deleted files are sent to the Recycle Bin.  Increased storage capacities also make it easy to add new software without having to remove prior versions.

Retro-Compatibility sacrifices can usually be resolved in some form of work around that results in someone losing more of their valuable time.  We also carry multiple versions of Microsoft’s Office software to assure continued compatibility with prior releases and at times sacrifice features and functionality accordingly.

Sooner or later, compatibility will be compromised.  Few have ever performed a Software 5S, this may have just been one of our first times discussing it as well.

Estoy intentando utilizar Ubuntu también en mi trabajo. Para ello me resulta necesario utilizar Microsoft Office.

Openoffice, me sirve perfectamente para preparar documentos de texto, hojas de cálculo, etc. El problema viene cuando tengo que trabajar con documentos compartidos con otros compañeros: Openoffice distorsiona los formatos. Y la culpa no es al 100% de los creadores de esta suite: Doc, Docx,xls, xlxs son formatos propietarios  y no se conocen totalmente sus características por lo que el resto de desarrolladores de programas ofimáticos tienen que “intentar adivinar” las especificaciones  para buscar que sus productos sean compatibles con Office.

Así pues mis alternativas son: a) Usar Windows + Office, b) Ubuntu + Office. Por aquello de mal menor, elijo la opción b. Ahora bien, para uso doméstico OpenOffice es más que suficiente y desde aquí lo recomiendo

Una vez centrado el problema, vamos a la instalación:

-1) Instalar Play On Linux.

Se trata de un programa para configurar WINE. Viene con instrucciones para las diferentes distribuciones. Se pueden localizar en el enlace: instrucciones de instalación.

Este programa es muy recomendable para quienes quieran instalar juegos de Windows en Linux.

2) Una vez instalado, seguimos la ruta: Aplicaciones>juegos>Play on Linux

Una vez lanzado el programa, vemos el icono con el símbolo “+ Instalar” y nos encontramos la siguiente pantalla:

Seleccionamos Office 2007 y nos pide que introduzcamos el CD de instalación de MS Office:

Y comienza la instalación de Office propiamente dicha:

Lo que sigue es sencillo, Play on Linux se encarga de toda la configuración

En el menu, Office aparece en Aplicaciones>Otros. Para que aparezca en Oficina editamos el menú: Nos ponemos en “aplicaciones” y pulsamos el botón derecho del ratón y elegimos “editar menú”. Elegimos “Otras” en la columna de la izquierda. En la derecha nos apareceran los programas que incluye: Seleccionamos cada uno de los programas y manteniendo pulsado el botón izquierdo del ratón, arrastramos hasta Oficina.

Funcionamiento de Office en 2007: De entrada, el único que me ha dado problemas ha sido Excel, se me quedó bloqueado y lo cerré “a las bravas”. La siguiente vez que arranqué excel me preguntó si quería arrancar “a prueba de errores”. Lo elegí y desde ese momento me ha funcionado con normalidad.

Espero que prontolos formatos libres se extiendan y que OpenOffice siga mejorando, es preferible no introducir estos “cuerpos extraños” en nuestro GNU/Linux.

It has been 3 weeks since I got Windows 7 up and running.

Over the last week I have been using it, more or less, for all my production use.

I have to say, ungrudgingly, that I am impressed. It has exceeded my expectations (but, I will confess, my expectations were quite low).

From a reliability standpoint it has been good. Most of the problems I have had have been due to System Mechanic 9.0.x — but I still persevere with System Mechanic, though leerily and very cautiously. I don’t let it do anything automatically and I am sparing in how often I let it fix the registry etc. I am just hoping that iolo is working 24×7 to fix all their Windows 7 issues.

I still jump back on to my XP machine to use FrontPage 2003. SharePoint Designer 2007 that I have, for free, gratis from Microsoft, on my Windows 7 machine works and works fine. But, I have started to discover nuances between the two that ensure that I, for one, cannot really transition that smoothly from FrontPage 2007 to SharePoint Designer. The two things that bother me the most have to do with Layout Table Cells and CSS (that is Cascading Style Sheets).

SharePoint Designer 2007 sure does support Layout Tables à la FrontPage 2007. But, it DOES NOT have the FP ‘Cell Formatting’ Task Pane for Layout Table Cells. I use Layout Tables for everything. Not having that Task Pane just makes it more tedious for me.

Yes, I know that CSS is said to be so superior to plain old, boring HTML. But, what I like about HTML is that it does give you pin-point control. FrontPage 2003 only generates ‘old’ HTML. SharePoint Designer 2007 only generates CSS. That is a PROBLEM. Simple things like FONT SIZES. Yes, I guess I could go in there and change some of this by hand … LIKE I sometimes have to do with BLOG postings here and on TypePad (both of which use CSS). But I don’t have the time. From what I can also see, CSS doesn’t support layout tables as well as old HTML! From what I can see table formatting gets distorted a bit. Well, I can’ have that.

I did this Web site, for a local equestrian center (that my middle daughter goes to), over the last few days. I started with SharePoint Designer. But, realized that it would take too long because of the cells and CSS. So I jumped on the XP machine and cranked it out on FrontPage 2003. I made some changes using SharePoint Designer, when I happened to be seated in front of the Windows 7 machine.

I am also getting used to Office 2007. I still expect it to crash at any minute, but it has done OK.

But, as of right now, I have to give a big THUMBS UP to Windows 7.

Choose Share on the top menu options. In the drop-down list, click Send Shared Notebook Link to Others. An email will pop up that includes a link to the notebook.

Click on REVIEW YOUR COMPUTER STATUS. [It is near the top.]

Windows 7 Reliability History

You will then see two drop down menu options. SECURITY and MAINTENANCE. It is under the later. Click the drop down [i.e., the downward pointing 'thingy.] BINGO.

The red ‘circles’ were critical events. When ‘applications’ crashed.

The yellow triangles were warnings. When bad things happened.

The blue ‘circles’ are informational events. When things happened below the ‘covers’ without me even being aware of it.

This is very useful. Way back I had complained that System Mechanic 9.0.x was crashing. Those early red ‘circles’ confirm that by name … because you can click on any of these icons to get details. I, for one, plan to check this history on a regular basis.

It showed a red ‘circle’ for yesterday. Yes, Word 2007 CRASHED doing a save. [Office 2007 does not give me a warm and fuzzy feeling. I am continually waiting for it to CRASH. Not good. I migrated from Office 2002. That was pretty solid.]

Another useful feature. Again accessed via the Control Panel. in Windows UPDATE. You can view your UPDATE HISTORY. That comes in handy.

Given that Office 2007 feels so flaky I wanted to double check that I had ALL OF the System Packs for Office 2007 installed. I think there has been like 6. (Sorry, I was being slightly facetious. I think it is on SP3, but we really should have another SP to make this puppy half-way ‘house trained.’)
