Make Your Utah Event Shine Online With These Five Tips

1. Create an Online Webinar or Google+ Hangout to Train Attendees
2. Create and Promote a Show Specific Hashtag
4. Get Google Authorship Linked to Your Blog
5. So the Event is Over? Keep Promoting!

Promotion of you event is crucial. You need to use every angle you can from Web sites, Micro sites and Micro Blogs and training for those who attend promoting upcoming events to pictures, tweets and Facebook posts during the event and of course follow up posts and interaction after the event wraps. The key to a hugely successful event is training planners to get online content seen by as many relevant eyeballs as possible. Here are five strategies to improve interaction, increase activity by those who attend and get more free publicity for your next event.

1. Create an Online Webinar to Train Attendees

Creating an online Webinar/Training has become easier with the development of Google+ Hangouts. The added benefit of a Hangout is that it helps all of those who are going to be active in your next Utah event to be in your Google+ Circles which is one more layer of social interaction. The point of the Webinar is to help your active partners to understand how to use the tools you will be providing to promote their involvement in the upcoming show as well as the show itself. Many times we are too busy “working our booth” to meet the other businesses and Network. Social media is a great way to get to know the other members of the show so we can “work our Booth” during the show. This Webinar should be no more than 30 minutes (plus an open question time) and should run about 1 month before your show.

2. Create & Promote a Show Specific Hashtag

“Engagement with your sponsors, attendees and participants is key to increasing traffic at your show.,” said Chad Chiniquy, C.E.O. of Search Control, a Web Presence, Online Image, and Social Media Management Provider that can make the most out of the interactions at your next show. “Creating a sponsored Hashtag and promoting it early, often and everywhere will increase the your Social Media Impact. Your guests will feel a need to be a part of the Group-Share which helps them feel more engaged in the party. Take lots of pictures and provide a single location that is open for EVERYONE to share This simple task can increase web traffic with a 150% spike. Find a local Magazine, Blog, Charity or Newsletter with a large following to increase and amplify your event’s reach.”

3. Blog Like You Love It!

Blogging is a great way to keep your web site’s content fresh content continually appears for Web crawlers to index. Dennis Duce recommends you create a blog on your web site and a micro blog off site and you add something at least once a week to each.Dennis found this great tip on another blog! “Write a blog post about every single question that a potential attendee might have, with the question as the title of the post, appearing in the page content and again as keywords and metadata. Your chances of appearing at the top of the search results go up when someone types that question into a search engine,” says Building Blocks Social Media’s Elizabeth Glau, citing a tip from the Sales Lion’s Marcus Sheridan. “It also makes your organization appear helpful when you answer questions your potential attendees have.”

4. Get Google Authorship Linked to Your Blog

Google has made it possible to connect your blog to your Google+ account. This helps give a personal touch to your posts and increases your page rank as well as your conversion.

Search Control has a great article on Google Authorship. “The process (of connecting Google+ to your Blog) adds a more human touch to the search rankings. People are naturally drawn to images over plain text. Basic human psychology shows that people feel more comfortable getting information from an actual person rather than an anonymous source. This means that even if you rank lower down on the page, your listing with an author image may get more clicks than the listings that rank higher.”

5. So the Event is Over? Keep Promoting!

This is a great time to grow your online image and Web Presence. You have plenty of pictures, quotes and video USE THEM to keep your attendees and partners engaged. This will help grow your brand and increase your Online Image as you prepare for the next event. ”I call it the post-event event,” says Hindman. “Empower press to write about your event with photos and mouthwatering tweets.”

When you continue to engage your audience through the year you will keep your Facebook, Twitter, Youtube and other social media pages active so you will not have to work so hard to build your SEO (Search Engine Optimization) for your next event.

Events are always hosted keeping in mind that they will successfully meet the needs of the attendees

Events are always hosted keeping in mind that they will successfully meet the needs of the attendees as well as the organizers. Attendees participate in events to learn the answers to their queries and also to know more about the company and its products. Event planners organize an event to satisfy and retain their client base and also in the process generate more sales and earn higher profits. Organizing successful events is not matter of joke. You have to have the right kind of people, choose the right venue, and attract the target audience.

Let’s see how you can arrange a great event with minimal effort and a short time span.

Choose the Right Kind of People

Organizing a corporate event is not actually the same as organizing your kid’s birthday party. Your company’s reputation to a great extent depends on how well you have prepared for the event. For that, you need to choose the right team of people or volunteers to be part of the working committee. Recruit individuals who are enthusiastic towards work and are prepared to labor overtime if required. You should also keep some extra people in hand to volunteer in case someone doesn’t turn up on the big day.

Run Your Event like a Business

Try to take your event as seriously as possible. Prepare a checklist to manage various administrative tasks in a streamlined fashion. Allocate the event budget to see all items have been accounted for without spending being overtly extravagant. Prioritize the most important work first. For example, choose a suitable event venue before printing the invitations. Promote your events in as many onsite and online platforms as possible. Print adverts on newspapers and business magazines; post your event details on social media websites, your business website, company blog, etc. Avoid any pitfalls by taking precautionary measures beforehand. For example, in case of an outdoor event, have a backup ready in case there is unexpected rain or snowfall.

Reward Your Attendees and Say ‘Thank You’

You should willfully reward and recognize your event attendees who have taken the pain to attend your event keeping aside their personal or such other tasks. For example, present your guests with a small potted plant with his or her name tag attached. It is a great way of personally valuing your guests’ presence as well as creating awareness towards planting more trees to reduce the carbon footprint on earth. You can even handover a personal ‘Thank You’ note or simply send a ‘Thank You’ email after an event. It is bound to create a positive impact and help in building up a long-term relationship with customers.

Measure the Success of Your Events

It should be a mandatory task for every event organizer to measure the success or failure of an event. What did the guests like or dislike; the reason behind the same. Did your event receive adequate media coverage? How many new customers did you add to your list? All these should be carefully analyzed to rate the success of your event and improve upon the next one.

Every event organizer goes through hell while managing administrative tasks associated with an event

Every event organizer goes through hell while managing administrative tasks associated with an event such as creating a checklist, booking and decorating a venue, inviting guests, supervising the catering, guest management, and so on. However, apart from these tasks, there are some more important aspects that one should take care of like informing guests if there is a sudden change in venue. Another key point to keep in mind is to share your photos from your previous events, after-party photos, etc. with the target audience. All these things should be showcased beautifully on your website to avoid making it dull and static.

Have Photo Galleries and Not Photos

You should ensure you have created a separate photo gallery on your event website and keep adding relevant event and party photos and update the section on a regular basis. If you don’t have your past event photos, then upload photos of the venues for your upcoming events even of the people decorating the venue, etc. to attract the attention of your prospective visitors. The easiest way to get the venue photos is by telling the staff to click some on your behalf or maybe you can just head to the location and shoot some of your own. It is always good to have a photo album than just overload the event website with tons of photos.

Blogs – Keep the Content Fresh and Relevant

Almost all corporate organizations today maintain a blog, but frankly speaking I have come across some corporate blogs that are full of outdated content with no recent updates as such. Remember, readers will show no interest in blogs that are not regularly updated. Thus, if you have a business or an event blog, keep the content fresh and relevant to meet the needs of your target audience. Upload relevant event photos to go with the text. You can also have guest bloggers like industry experts post articles their articles on your blog site to add credibility to your company and the events that you host from time to time. Also remember to add event video clips and such other resources from your previous programs to the blog to let your attendees have a visual feel of what they might expect from attending one of your events.

Gather and Share Relevant Feedback

Attendee feedback is crucial for the success of any type of events whether it is a meeting, conference or a corporate party. You can choose from a multitude of offline or online methods when collecting feedback from your event participants. Offline method includes distributing survey forms/sheets to the people just after the completion of an event. Online methods can be emailing the attendees with online survey forms or sending the forms to their Smartphone.

Regardless of whether you gather feedback through online or onsite processes, you can use the event website to present feedback from prior events. For example, you can post a couple of the best comments you have received about last year’s events on your event website for your followers to view good remarks about your events are bound to boost the attendance numbers for your future events resulting in higher ROI.

Event planning and promotion go hand in hand. Rather the promotional aspect is a part of the event planning process. While you plan to go about with the online event registration and payment processes, you also have to think of ways to promote it on all possible channels or platforms to increase your event attendance and generate maximum ROI!

In this article I will share with you the 5 most important and innovative ideas of event promotion.

Post on Your Website

Your business website has the potentiality to reach out to the maximum number of people. How do I know this? Well, it is because all your existing customers are already checking out your website regularly to see the new products you have on offer; plus access all kinds of information associated with your company. Thus, it is very easy to draw the attention of the regular visitors to your website. With the right kind of event management tools, all you need to do is to post a feed of your upcoming events on the website. You don’t need to manage the feeds manually, as the website gets automatically updated for every new event you publish.

Publish an Event Calendar

One of the best ways to increase event attendance is by creating an event calendar. You can set up an online event calendar in minutes. Upload the same on your website for potential attendees to check out the upcoming event schedules. This will help them to set a reminder on the event and avoid clashes during the same time or date with any other fixtures. Plus, another benefit of maintaining an event calendar is that you can link each event to the registration page or the event homepage for individuals to instantly sign up.

Emails and Social Media Tools

Try to reach out to your current and potential prospects via emails. Send an email instantly to a single person or a group of people. It is cost-effective promotional tool; since you don’t need to spend money on printing hard-copy letters and send them by post or courier. It is better to avoid headlines such as: “Register Now” or “Get 25% Discount on Registration”. You should come up with a headline that is more ‘to the point’ and touches the heart of the people. Besides, there are the obvious social media platforms to promote your events to online users. Use Facebook, Twitter, LinkedIn, etc. to build up a strong network with online users. This tactic is an effective route to higher event attendance.

Post in Public Event Directories

Promote your events on relevant places where a section of your prospects are looking for events. That is the public listings. You can push your events out automatically to sites like “Events in America” and “SocialVents”.

Reach Out to More People

In addition to promoting your events online, why not try out the offline route as well! Contact your local printing press and print leaflets to paste or distribute them manually at various strategic locations. You can also plan to publish adverts on the local and national newspapers to create awareness of your event locally

Online Event Promotion

Whilst Facebook has revolutionised the way in which the music industry communicates with producers and consumers, it has also enabled an unprecedented amount of spam event invitations that for some users, can reach hundreds of notifications a day. Myself and many other people use this form of social media for networking, staying in touch with friends across the globe and staying up to date with in the Drum and Bass world.

The other day I logged into my Facebook account to find I had over seventeen invitations for events that were taking place as far afield as Germany, France, the US and even Lithuania, the others were small back room events happening in middle England, far away from where I live and of which, would not interest me in the slightest. Now most of these invitations were sent by people who randomly requested to be my friend or sadly, were members of my Real Playaz Street Team who received a strict dressing down on the ways in which to promote online after I have spent the past several months lecturing them in great details on how to use Facebook properly.

Obviously this isn’t a reflection on the team as a whole and the offending members have since proved themselves to be ever so slightly challenged by social media concepts consequently resulting in their departure from the team. What I’ve found the hardest thing to comprehend through all of this, is although Facebook is a much easier, cleaner and faster way of promoting an event, users have become so used to the lack of effort that is involved in creating an event and inviting guests that it doesn’t occur to them to think who would actually be interested in going.

Event Invitations

For example, I received an invitation to something that was happening in France. That’s pretty much all I could gather from the event as the whole page was written in French and the only word I could pick out was ‘Dubstep’, maybe there is not a French translation? Now for one thing, I live in Wales, not France (but as I’m currently typing this on a bus on the M4, I’m moving to London to make my fortune), I speak English and pigeon Welsh (it’s a long story about my Welsh speaking abilities, could possibly be a whole blog post in itself but imagine someone speaking Welsh with a cockney accent and you may have some idea) and I don’t really like Dubstep too much. I’ve got to be in the mood for it, you know, like whether or not to have brown or red sauce with a bacon sandwich.

So where were this person’s motivations for inviting me to this event? Oh it must be because he was too lazy to go through his friend list and look for people who may actually be interested in going but instead clicked invite all, sending annoying notifications to me and a good few hundred people as well (judging by his two thousand plus friends list).

Birthday Parties

I was also invited to a random person’s birthday drinks the other day too. I’m assuming he just invited everyone on his friends list (like the aforementioned idiot) including varying DJs, record labels and general random people. I bet he would have had a pretty big shock if we all turned up! The event was public too, so anyone could have seen the details and including his mobile numbers was bordering on completely idiocy. It was my birthday at the end of February and I made an event to see which of my friends would be available. I ensured the event was private, only invited people who would actually consider coming and asked my friends to private message me if I didn’t have their numbers (I’ve lost my phone a fair few times recently, losing my numbers in the process). No one was annoyed by this event invitation, I wasn’t giving out my personal contact details to all and sundry, didn’t invite my friends who live across the other side of the world to me and didn’t invite the DJs and music industry professionals who are on my friends list for networking purposes. Wasn’t too difficult was it?

Anyways, I’ve settled in London now so hopefully will have some more interesting blog posts for you from now on, seeing as though there are many social media seminars and events happening around here. You should always be careful which information you give out or the things that you write online because even after you’ve removed it, your digital footprint is fully formed.

I recently came across a very interesting article about an online events and promotions community which enables its users to virtually plan and monitor every step of an event they are organizing.

Gorilla Toolz is apparently the first web service to provide total organizational control to event planners, promoters, and venue managers by having every aspect of an event accessible online. It is a “one stop shop” if you will for people in the event/promotion/PR industries because they have access to every resource they could possibly need right at their fingertips. Instead of searching through websites to find appropriate event staff, venues, and events to sponsor, they can access all of these resources on one website and have the ability to connect to other professionals.

As someone who is interested in the promotions/event planning aspects of Public Relations, I think this is a fantastic idea that will catch on quickly because it caters to companies that are trying to stay ahead of the game by being media and computer savvy in the online marketing of their own personal brand. More and more companies and communications professionals are trying to promote themselves online through sites like Facebook, Twitter, LinkedIn and Blogspot and connect to their professional peers.

Gorilla Toolz creators Jay Fruin and Robbie Thain clearly saw the demand for the need to connect in an online world while simultaneously creating a brand for themselves, and thus created a site that would enable people to do just that. As someone who just recently embarked on creating my own online brand with blogs, websites, and Twitter, I find the level of networking, communicating, and connecting to be fascinating.

The ability to discuss issues and find people in your own profession and exchange ideas and advice is something that is new and exciting–and also a little scary. While I think it is great that our generation has access to these online portals of wisdom and communication, it kind of makes me sad that certain ways of communicating seem to have flown out the window, like the old-fashioned phone call or perhaps a letter sent via snail mail. However, I realize that in this economy corporations and individuals are doing everything they can to stay ahead of the game, and in my opinion I believe that Gorilla Toolz are onto something!

Once you have decided on the details of an event, time / location / date etc there are a number on online event listing services which attract an existing audience who is looking to discover events online. Listing on these services will help to get your event discovered by potential new attendees. The best examples of these that we have found are zvents, upcoming and eventful:

Zvents – We have found this to be the most relevant for organizers of small and medium sized events due to their local integration partners. By this I mean they partner with local newspapers and local media to both list their events in zvents, and list zvents on the local newspaper online directory.

upcoming – now owned by yahoo, I think is the largest database of upcoming events.

Evntful – Again a large online events listings / discovery site.

We have recently integrated MadeIt with both Zvents and Upcoming so that when you publish your event you can make it discoverable to the audiences of zvents, their 250+ media partners, and the upcoming events list.

On top of this localized listings are another way to get the word out there. Criagslist.org I think is the best for this on the west coast, kijiji.com on the East.

We will up date this post with more resources to come as we discover / learn more about them.
