Like many people, I’ve been having tremendous difficulty getting Outlook 2010 to sync with my

Like many people, I’ve been having tremendous difficulty getting Outlook 2010 to sync with my AT&T email. I have finally learned how to painlessly sync the two.

Before syncing, you may need to upgrade your e-mail account to Yahoo mailplus for $20/yr.

Now you can begin.

1) First, go through your internet browser and open the email account you wish to sync to.

2) Make sure that POP is activated in your email account. Select Options/Mail Options, and then select POP and Forwarding on the left panel. Select Access Yahoo! Mail via POP (or, in some cases, Allow your Yahoo! Mail to be POPed.) Be sure to click Save!

3) IMPORTANT! Do not log out of your email account during the sync.

4) If you haven’t done so already, open Outlook 2010.

5) Select the File tab, select Info, and then select Add Account (located at the top of the panel on the right).

6) A box will appear. It is labeled Auto Account Setup. Select Email account.

7) Now enter your name as you’d like it to appear on the From line of your email.

8) Enter the entire email address you are syncing to.

9) Enter the password to your email account.

10) Click Next.

11) A box will pop up titled Internet Email – your email call name.

12) Two different boxes will then pop up. One is for outgoing mail; one is for incoming. In each box, type in your entire email address under User Name. Hit OK.

13) If a box comes up, saying it cannot log onto the server, hit Retry.

14) Another small box titled Internet Email will appear. Type in your entire email address again.

15) You may be asked to repeat the process once or twice again.

16) You’ll then see a message titled Congratulations! There will be three green checks under the heading Configuring.

17) Even if small boxes continue to appear, simply click Finish. Your new email account has been established.

18) When you go into Outlook, you may be asked to type the entire email address into a small box once more. Do as requested, but also check the Save Password block. Otherwise you will have to add the email address each time you open Outlook.

This really should be as easy and clicking a couple buttons, selecting the groups to merge and hitti

This really should be as easy and clicking a couple buttons, selecting the groups to merge and hitting OK. I can’t believe there isn’t a nice way within Outlook to do this. I have 7 distribution lists that I’m going to merge into probably 2 lists. We use this to send attachments so it’s nice to break it up and not clog up the server all at the same time, but we don’t need this broken up that much.

What you want to do is open each group that you’re wanting to merge together and go to the file menu, then save as.

On the save as type line make sure to select text only (*.txt) and remember where you save it. The text files will look something like this:

Delete the lines at the top so all you have in your text file are the names and email address. Do this for all the text files.

This next part I find easier to do with excel. In Excel (2010) go to the Data tab and select from text. Select delimited and hit next. I only need to select tab because I’m wanting to remove the email address outside of the parentheses. If you select tab and space it will split them into 3 columns, which isn’t necessary. This way we can delete the entire column at once. Actually, after completing this I had some lists that were formatted differently so I had to play around a bit. As long as you get the duplicated email address in it’s own column that will work.

Highlight column B where the duplication of the address is and delete it.

Now this is where I’m sure there are multiple ways to do this, but I’m not an Excel expert so this is what I figured out. What we need to do next is add a semi-colon to the end of each line to separate the people. What you should have now is something like this:

I used a formula to do this. In column B1 type =A1&”;” to get this:

Now click and drag the corner of cell B1 down the column to add the semi-colon the the rest of the fields. There’s probably a macro that can do this, but I have no experience with them so this isn’t too bad. My lists aren’t that large.

What I did next was copy the column with the added semi-colon and paste it into a new notepad file. I did this with all 7 of my groups. You can either just keep appending the one file or put them into multiple, user preference.

Now go into Outlook and create a new contact group.

Click on add members and choose either from outlook contacts or from address book, it gets you to the same place.

Now instead of selecting people from the address book go to your notepad file, copy and paste all of those people separated by the semi-colon into the members box and hit OK.

If you’re only merging a couple groups you can probably just paste directly from Excel into the members box. I had 7 to do so it was easier for me to go through notepad first.

I found this info on another site so I’m definitely not taking credit for it. Just adding it to my little notebook since I know I’ll be needing it again at some point.

In Exchange / Outlook 2010, there are several features that require Cached Exchange Mode:

•Junk E-mail Filter
•Instant Search
•Conversation View (Show Messages from Other Folders)
•Clean Up
•People Pane / Outlook Social Connector

Aside from Cached Exchange Mode, Instant Search also needs Windows Search in order to work. The Outlook Social Connector, which adds the People Pane in Outlook, relies heavily on Instant Search.

By default, shared mail folders are downloaded in Cached mode in Outlook 2010:

http://support.microsoft.com/kb/982697

Outlook 2010 Terminalserver Cache Mode Instant Search:

http://social.technet.microsoft.com/Forums/en-US/winserverTS/thread/39515a44-83aa-4ce7-a89c-276281440ce8

According to the inputs from Office engineer, Outlook uses Windows Desktop Search to provide the Instant Search function. It is stored in C:\ProgramData\Microsoft by default. As this folder is per machine, it is expected that the index is built again when a user logs on to another server because the folder is empty on that server. Unfortunately, Windows Desktop Search does not support storing index files to a network share which can be shared among different computers.

Today I wanted to distribute a list of secure senders in Outlook 2010 to all our users in the domain

Today I wanted to distribute a list of secure senders in Outlook 2010 to all our users in the domain. As I noticed, this is a bit tricky. Now I want to explain to you, what you have to do, if you want to do this.

First open your Group Policy Object Editor and go to

User configuration\Policies\Administrative Templates\Microsoft Outlook 2010\Outlook Options\Settings\Junk-E-Mail

Here you have to set

Specify path to Safe Senders list

to enabled and insert the path to the list which should be put onto a network drive which has read permissions for everyone who is in the domain.

Unfortunately this GPO did nothing in my companies network. After a little bit of goggling i found out that there are two registry entries necessary that Outlook takes note of this GPO. Now make this:
In the same GPO go to

User Configuration\Settings\Windows Settings\Registry

and under

[HKEY_CURRENT_USER\Software\Microsoft\Office\12.0\Outlook\Options\Mail]

you have to create the following two values:

"JunkMailImportLists"=dword:00000001
"JunkMailImportAppend"=dword:00000001

After i had done this, my Outlook agreed to the new policy and assumed the secure senders list.

Since Microsoft Outlook 2010, shared mail folders are automatically cached if you are using Cached Exchange mode which most organizations do these days. I have had to disable this setting lately for a client and all that is required is some registry settings.

Create Registry items using Group Policy Preferences under the User context for:

HKEY_CURRENT_USER\Software\Policies\Microsoft\Office\14.0\Outlook\Cached Mode

Name: CacheOthersMail
Type: DWORD:
Value: 0

HKEY_CURRENT_USER\Software\Policies\Microsoft\Office\14.0\Outlook\Cached Mode

Name: DownloadSharedFolders
Type: DWORD
Value: 0

The first setting will disable shared mailboxes from caching and the second setting will disable the option so users are not able to make changes. The end result would be the screenshot as follows:

Problem

Outlook 2010 can take a while to start because it is loading many add-ins. These add-ins may have been enabled by the system administrator at the workplace by default.

Solution

Turn off all the add-ins that are not really necessary. Go to File → Options → Add-Ins. Click the Go button beside the Manage COM Add-ins dropdown. In the COM Add-Ins dialog uncheck all the add-ins you do not need. Press OK, close and start Outlook 2010. It should load up faster.

Tried with: Windows 7 Enterprise x64
