OnSIP, from Junction Networks, offers professional, flexible, business-oriented Internet phone syste

OnSIP, from Junction Networks, offers professional, flexible, business-oriented Internet phone systems for business that could be a good value, depending on your needs.

What You Get

OnSIP offers most of the features one would expect from such systems, including call routing, voicemail, business hours rules, and advanced features like on-demand conference bridging and text chat from your browser. The service doesn’t offer faxing, though.

OnSIP doesn’t sell IP phones. Instead, the company web site offers useful reviews of hardware you may wish to purchase, along with detailed instructions on how to set them up. You can also choose to use an analog telephone adapter (ATA) to make an connection between the Internet and a standard phone, or you can use a softphone to connect directly from your computer. Most web workers will find the setup process fairly simple, but OnSIP doesn’t offer pre-configured phones the way RingCentral does.

The folks at OnSIP kindly sent me a Polycom SoundPoint IP 450 to test the service. This is a very nice phone, and worked well with OnSIP. Like a number of other IP phones, it doesn’t include a standard headset jack, opting instead for an RJ-10 connection, meaning that headsets are more expensive than you may be used to. But the speakerphone quality on the Polycom is excellent, and I found that both my callers and I liked the results.

Options and Pricing

OnSIP has chosen to price its services differently than most of its competitors. It offers several plans, all of which offer unlimited users, extensions and users. However, none of the plans include any incoming or outgoing minutes. Customers pay $2.00 per month per incoming phone number, plus 2.9 cents per minute for all incoming and outgoing calls (except calls to other extensions on your company’s system, which are free). Incoming toll-free calls are 3.9 cents per minute in the contiguous US.

With most companies offering bundles of minutes, paying by the minute might raise red flags. But OnSIP justifies its policy this way:

“Most competing VoIP providers charge a high fixed fee for each employee in your company on a monthly basis. Generally, that fixed fee includes unlimited calling minutes and use of a fixed set of features. These services range in price from $49.95 per month and up. Seems attractive right? There is a far better option.

With OnSIP, the average user pays a total monthly bill of $18. That’s about $1 per business day per month; a cost savings of at least 65 percent over competitive services. What is this based on? There is no special pricing, discounts or gimmicks factored in. It’s simply a fact that we charge less than every competitor we know of.”

I used this system to make all my long-distance calls for about three weeks, and made about $10 worth of calls. I calculate that my three-person company would probably pay $60-70 per month, which isn’t bad. So maybe OnSIP is right to structure its packages the way it does. But when you do your calculations, make sure to figure in the other charges that you may have to pay for. If you read the fine print from most other companies, they charge for these items, too, but OnSIP is perhaps more upfront about it.

Ordering

The online signup process is straightforward, and allows you to select the features you need. You can port existing phone numbers through the administrative web site for a one-time charge of $57. OnSIP offers a 30-day trial, requires no contracts, and allows upgrades, downgrades and cancellations at any time.

Managing Your Phone System

OnSIP provides two online portals for customers: an administrative site to manage extensions, groups and account data; and a user portal for individual extensions. The administrative site is a bit wonky, and it helps to know some basic Internet telephony terms, but the OnSIP knowledge base includes helpful step-by-step instructions and videos.

Quality and Reliability

As one would hope from a company catering to business, I found the quality and reliability of OnSIP connections to be excellent, even when I was also using my Internet connection for other purposes. I’m told that OnSIP owner Junction Networks is profitable and has been in business for five years, and serves thousands of customers, including some with over 100 users.

As Aliza wrote recently. you’ll want to consider a number of factors when choosing a phone system. For me, call quality, reliability, ease of use and pricing are paramount.

OnSIP will probably appeal to web workers who like flexibility, and are willing to do their own setup. I can also see OnSIP as being a supplement to a landline, which could be used for incoming calls and outgoing local calls. If you want a solution that takes less setting up, and you don’t want to worry about per-minute charges, you may prefer RingCentral. In any case, if you’re considering a business-grade phone system, you’ll want to do the math and see if OnSIP makes sense for you.

Have you tried OnSIP?

A few days ago, Aliza provided some excellent planning advice on how to pick a company phone system.

A few days ago, Aliza provided some excellent planning advice on how to pick a company phone system. I’ve written in the past about three options for incoming service: Google Voice (s goog) (which now lets you use some of its features with your existing number), 3jam, and Grasshopper (which is now reportedly profitable.)

This time, let’s look at a business phone system that provides both incoming and outgoing service, plus actual phones. The folks at RingCentral have kindly set me up with one of their packages, the RingCentral Office. They also offer RingCentral Online, an inbound service similar to those listed above, but we’ll focus on the Office package for simplicity.

Options

RingCentral Office has three pricing levels, ranging from a one-line, 10-extension plan for $49.99 per month to an 8-line, unlimited extension plan for $179.99 per month. Each plan comes with various combinations of toll-free and local numbers, as well as toll-free or local dedicated fax numbers. You can also port your existing local or toll-free numbers to RingCentral.

All plans are advertised as having “unlimited minutes,” but (as is apparently the norm among VoIP providers) “unlimited” actually means 5,000 minutes per month; if you go over that, you’ll be charged 3.9 cents/minute. That works out to roughly 2.5 hours of talking per day. Are you and your colleagues on the phone that much? At my company, we aren’t, but some folks might need to be aware of this limit.

What You Get

RingCentral Office includes all of the features that have become standard for Internet phone services. They offer numbers in the U.S., Canada and the UK.

RingCentral offers two types of phones. The phone RingCentral provided to me is a Linksys (now owned by Cisco (s csco)) SPA942. At first glance, it looks much like a modern business phone. But instead of plugging it into a phone jack, one connects it to the Internet using a standard RJ-45 network cable. If you only have one Internet connection, you can plug the phone into your internet connection, and then plug other devices into the phone. I was pleased with the phone. It’s relatively easy to operate, but strangely, it doesn’t support a headset, something I’ve gotten quite used to.

If you would prefer to use your existing phone equipment, RingCentral also offers an ATA adapter which connects the Internet to regular phones. Since most people aren’t technically-minded enough to want to fiddle with ATAs or configuration of phones, RingCentral ships their equipment pre-configured. All I had to do was plug in the power and the ethernet cable, and the phone was online and ready to use. RingCentral tells me that they provide their phones at or below wholesale cost; a little research confirmed that their equipment prices are quite low.

When you or your colleagues are out of the office, you can use the web site and Windows- (s msft) or Mac-based (s aapl) softphone application to send, receive and manage calls and messages. One of the unusual features of the softphone app is the ability to view incoming calls and reply with a short message like “I’ll call you back in 10 minutes” without actually answering the phone call. There’s also integration with Outlook’s contact list.

For iPhone users, there’s a native application that provides easy access to voicemail (separate from the iPhone’s built-in voicemail) and faxes. You can also use the iPhone app to make calls showing the Caller ID from your business line — without displaying your iPhone’s telephone number. Similar native applications are being developed for other platforms; I gather that the BlackBerry (s rimm) is next on RingCentral’s list. I didn’t test RingCentral’s software, but I’ve gotten positive feedback from others who’ve used it.

Ordering

When ordering, you’ll be asked to specify the plan you want, the number of lines needed, as well as the number of local and toll-free numbers. You can create a plan that meets your specific needs, and you can change plans at will, since you don’t need to sign a contract. If you return the phones, the return will be subject to a restocking fee.

RingCentral boasts that its services can be priced and purchased directly from its web site without needing to call (although it does offer ordering by phone). While web ordering is certainly possible, I found the website to be less than clear in explaining the differences between the various plans and options. RingCentral tells me that a redesigned site is on the way.

Quality

Of course, in a business environment, call quality is key. In my tests, I (and the people I talked to) agreed that our conversations were clear, loud, and with none of the delay that sometimes plagues services like Google Voice. RingCentral tells me that the service is SIP-based, but that they’ve done significant signal processing so that anyone with a DSL, cable or faster Internet connection should hear excellent sound quality. Dialup connections aren’t recommended, for obvious reasons.

Reliability

RingCentral has been around for several years, but only started offering the Office product in early 2009. According to the company, it is now providing its Office service to over 3,000 organizations of various sizes, including some of over 50 users, with the four-line option is the most popular. They have multiple levels of redundancy and backups, but of course, if your local Internet connection or power goes out, you’ll be unable to use RingCentral, or any other Internet-based phone system.

If you are in the market for a virtual PBX system that provides phone hardware with incoming and outgoing service, you’ll want to look at a number of options, including Accessline Digital Business Phone System, FreedomIQ Hosted PBX, and Phone.com Business Phone, Whatever you choose, RingCentral Office is certainly a strong competitor.

Do you use RingCentral?

Using Tpad’s flexible mobile VoIP services makes connecting to customers and staff easy at home and abroad

Technology has opened new avenues of opportunity as well as created new challenges, the first being simply to keep abreast of the innovations and deciding which will work for your company. Tpad understands the importance crystal-clear communications to the progress and profits of a business. As a telephony provider for mobile VoIP (Voice over Internet Protocol), Tpad ensures that small business enterprises have more options in the ways they communicate with their customers as well as members of their organization in many different locations.

System flexibility and operational costs are two genuine concerns for every company, no matter whether they are a group of entrepreneurs in collaboration or an established business with several employees. As more companies employ individuals from remote locations the need for international VoIP and mobile Wi-Fi has focused attention on Tpad’s innovative approach.

Tpad has designed several packages that can be customized to the communication needs of growing companies throughout the world. One service that has been eagerly received by small to medium sized enterprises is the ultra-flexible IP PBX system, which enables them to reduce overhead costs while increasing their competitive edge.

Using the most advanced VoIP technology, Tpad is focused on providing businesses with uncomplicated telephony solutions that are on par or surpass the level of communication quality offered by Vonage and Packet8.

Commenting on the need for business to take a second look at Voice over Internet Protocol technology, Simon Jones, Sales Director of Tpad said:

“VoIP technology has evolved rapidly over the past three years to include an extensive array of benefits and features that many companies can use to move their business forward. Tpad has developed these economical and user-friendly communication solutions to attract and advance a company’s goals.”

Many customers of the VoIP services offered by Tpad turn to this communication solution for exactly these reasons. Tpad is aware that client care and responsiveness to the needs of the marketplace are just as important as state-of-the-art facilities and equipment.

“Companies have specific business goals and unique characters.” said Jones. “With the need for increased productivity rising, we keep the timeline between the decision to use Tpad’s telephony to installation and use as short as possible. Rather than dedicate an extensive amount of time for installation and training, companies who select Tpad are able to focus their attention of developing and reinforcing their brand.”

Not only at the beginning or during the installation process is client care a valuable resource, but also on a day-to-day basis, each of the account advisors are highly qualified, respectful of your time and priorities. As a company that offers communication services, the Tpad company takes your business goals as seriously as you do; from initial contact to growth through the various stages of your enterprise.

Most businesses start out small and grow larger as they become successful. Along the way their focus

Most businesses start out small and grow larger as they become successful. Along the way their focus varies from growth to quality depending upon their business cycles, industry trends and general economic conditions. As they grow they change how they use their computers and networks; shouldn’t they pay the same attention to their phone systems?

Small traditional phone systems were hardware dependent. The features were basically built into the handsets on the desktop and the key system unit (KSU) in the back room. As the company grew, more KSU extension boxes were added to the back wall to supply the needed capacity for phone lines and extensions. The system worked but it was expensive and it limited the ability of the business to rapidly change phone details and priorities that the company needed. After a few years of using a KSU system it could become difficult to find the hardware necessary to implement what was needed for a growth cycle.

Modern VOIP phone systems on the other hand are built for rapid growth without obsoleting your old equipment as fast as the KSU systems seemed to do. VOIP systems are software driven and can be frequently updated to maintain their winning edge of new technology and firmware updates. Need a dozen new handsets? No problem, just deploy them, register the new IP phones with the IP-PBX phone server and set them up with names and extension numbers. Easy, quick, and no trips to the dreaded back room where the network and phone monster lives with boxes, racks and cables.

This is a crucial factor in comparing ROI for the new VOIP phone systems against the much older KSU style or even hybrid style phone systems. VOIP systems will have a much longer useful life and maintain their technological edge because they can be fully reprogrammed and updated at any time without new hardware expenses. A business can add more concurrent phone line capability and more extensions without buying any new equipment except perhaps additional handsets as needed. That too can be avoided by the use of softphones, programs that are installed on the desktop screen and look like a cell phone that you click on with a mouse to make it function. Add a headset and a softphone runs exactly like a desktop handset without spending the money for the hardware. Softphones can also be used to create a telephone extension out of a laptop computer that is as mobile as your sales and technical support workforce on the road.

The most important factor for a successful business to grow properly is to accomplish it with a plan. That plan should be checked by a competent phone vendor so that you can see where your company is now, but also where you project to be in six months, a year and in five years. Do you have the right phone system to scale up without throwing the entire technology away? Will your phone system be malleable enough to grow with you at minimal expense without forcing your company to be limited by inadequate phone system capabilities? Will your company be able to add features and derive benefits from growth in your phone system because a competent phone vendor is there to explain and implement them right away? Can you gain a competitive advantage because your phone system metrics and Call Data Reports teach how to best use the phone system to have happier customers when they call into your company?

An assumption that most business people make about phone systems is that they only work with phone handsets installed on the desktops at their office location. This is because they were trained on old world technology, meaning pre-VOIP digital systems. New 21st century technology has changed everything in what can be accomplished for your business.

While it is true that most people will prefer to have a typical phone handset sitting on their desk because that is what they are used to, it doesn’t mean that new ideas about virtual phones can’t be considered. One of the great technological advances in VOIP phone systems is the “softphone” which is a software program that performs just as a hardware handset but exists entirely on your computer monitor.

The softphone program is installed on each computer that needs access to the VOIP IP-PBX. It can be placed on a desktop to replace the hardware handset or it can be loaded on a laptop computer as well. With either method a wired or wireless microphone and speakers are used to speak and hear the phone conversation. A wireless connection can be either a typical Plantronics-type headset or a Bluetooth style headset that is very popular today.

The installed softphone looks like a cell phone mounted in the middle of your computer screen. You use your mouse cursor to click on the parts of the phone just like you press the buttons on your actual cell phone. It is extremely simple to learn and to use effectively. The softphone gives you the same capability that the hardware handset does, perhaps even more!

Many hardware IP phones have an integrated LCD screen that displays information about the phone calls. A softphone can show more information and associated programs such as a “Heads Up Display” or HUD complement the softphone and complete the incredibly useful utility package on your screen. More on the HUD program in a future article…

Once installed, the softphone looks for the IP-PBX computer running your office phone system anytime it is connected to your own Local Area Network at your office or via the Internet. This happens at your home, at a clients office, at a Starbucks or any other hot spot where you can go online. The softphone connects to the IP-PBX as an extension of your phone system and has all the same capabilities as if you were sitting at a desk in the office. Voicemail, dialing directories, day/night/holiday mode, etc. (Shhhhh, it even works from the golf course if you have an “aircard” to provide Internet access from anywhere in your providers service area).

Some businesses totally replace the hardware handsets with softphones to save money, others do it for convenience and mobility. Think of an insurance adjuster or a sales person out on the road most of the business day. The softphone provides connectivity to the office phone system to a degree never seen before. They are also easier to upgrade than a hardware handset on your desktop. New uses for virtual softphones are being evolved every day. Talk to your VOIP phone vendor and see how they can improve your employee’s connectivity.

In addition to the PCS Operators Console, SpliceCom have extended Operator facilities to their PCS 560 & PCS 570 IP Phones. Combining looks, intelligence and desirability in equal measure, the world’s slimmest desktop IP phones provide easy access to the benefits delivered by maximiser, SpliceCom’s range of innovative and award- winning Unified Communications platforms. Ultra sleek in styling, PCS 560 & SpliceCom PCS570 have both been designed to look great from any angle including the back, which makes them ideal when commanding a front-of- house position. Utilising a totally sealed enclosure with not a screw in sight, SpliceCom have focused on delivering the same ease-of-use associated with mobile phones to Operators and Receptionists. A large, full colour graphics display, eighteen (PCS 570) or nine (PCS 560), intuitive, multi-functional, context sensitive keys, bold, instantly recognisable icons and in the case of the PCS 570, direct connectivity for a USB keyboard combine to deliver a rewarding Operator experience.

In Business Centre or Multi-Tenancy scenarios, where a Receptionist or Operator has to handle calls on behalf of multiple businesses, SpliceCom’s PCS 60 Operators Console and PCS 560/570 Operators Terminals deliver a global view of all companies allowing calls to still be efficiently answered. Who is calling, and which company is being called, can be clearly identified, allowing each call to be answered in an appropriate and business like manner. The PCS 60 Operators Console also allows a different script to be pushed to the PC screen, depending on which company is being rung. This enables the Business Centre to deliver an even higher level of customer service to each client on a truly individual basis.

In line with our commitment to enable telephony and associated applications to be deployed totally independent of underlying infrastructure, computer operating systems, handset type and geography, the PCS 60 Operators Console provides the Operator with a great deal of choice, states Hayman. It can be deployed as an IP softphone, or as a Phone Partner application with IP hardphones or analogue handsets with or without headsets and can be run on a Windows or Mac OS X platforms. The SpliceCom PCS560 and PCS 570 Operators Terminals deliver similar functionality for those who prefer the more traditional approach to the Operator’s role. maximiser’s architecture allows the operator function to be centralised, or, where the requirement is for multiple sites and/or operators, a single operator or groups of operators can be dedicated to a site, or can handle calls on behalf of multiple sites. The whole approach to Operators on maximiser is so flexible that for Emergencies, Business Continuity and small companies with a mobile workforce the PCS 60 Operators Console can even be used in conjunction with a mobile phone should the need arise, concludes Hayman.SpliceCom’s Director of Marketing & Product Management. First impressions last forever and you only get one chance to make a good first impression. Telephone system Operators and Receptionists are generally the first people your prospective customers speak to when they contact your company. More personal than a call centre and still more acceptable than Interactive Voice Response, auto-attendant or voicemail, professional and efficient call handling helps to deliver the image of a well run and efficient company at all times.

“In today’s business world image is so much more than just important, it’s essential,” says Robin Hayman,
